Executive Administrative Assistant

Job Summary
Knight Commercial is seeking an experienced, highly organized, and proactive Executive Administrative Assistant to provide high-level administrative support to three on-site executives. This role requires exceptional communication skills, strong discretion, advanced organizational ability, and proficiency in Microsoft Office Suite. The ideal candidate is detail-oriented, resourceful, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
- Provide day-to-day administrative support to three on-site executives.
- Manage executive email inboxes, including organizing, prioritizing, drafting responses, and tracking action items.
- Maintain and coordinate complex executive calendars, meetings, and travel arrangements.
- Prepare, edit, and format presentations and documents using Microsoft PowerPoint, Excel, Word, and Outlook.
- Coordinate and prepare materials for board meetings, including agendas, meeting packets, minutes, and logistics.
- Organize internal and external meetings, including conference room scheduling, catering, and A/V coordination.
- Handle highly confidential and sensitive information with integrity and discretion.
- Serve as a professional liaison between executives and internal teams, clients, and external partners.
Qualifications
Experience & Skills
- 3–5+ years of experience supporting senior executives or C-level leadership.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Exceptional organizational skills and strong attention to detail.
- Ability to prioritize, multi-task, and work independently in a deadline-driven environment.
- Professional presence and ability to interact effectively at all levels of the organization.
- Demonstrated ability to maintain strict confidentiality and exercise sound judgment in handling executive and board-level matters.
- Experience in construction, restoration, or a related industry preferred.
- Experience supporting board meetings or corporate governance processes preferred.
Education
- High school diploma or GED required.
- Associate’s degree or higher preferred.
