Schedule: Full Time | 80 hours/pay period | Monday - Friday 8:00am to 4:30pm

Pay Range: $19.00-$21.00/hour (non-exempt), based on experience, qualifications, and location.

As a Patient Access Specialist, you are the warm and welcoming first point of contact for clients and families connecting with Vivie’s Home & Community Based Services. You provide exceptional customer service and administrative support that ensures smooth, timely access to care. In this role, you’ll help clients navigate our services with compassion and clarity while assisting with day-to-day operations that keep our care teams moving.

As a Patient Access Specialist, you will: 

  • Be the Front-Line Contact – Answer and transfer incoming calls using a warm, professional approach and greet visitors to create a welcoming experience.
  • Field Referrals – Receive and route incoming faxes and referrals, support intake activities, and help clients navigate toward the right services through active listening and clear communication.
  • Provide Administrative & Client Communication – Triage and distribute phone and electronic communication to ensure timely responses to care needs. Represent Vivie with positivity, warmth, and professionalism—making every client feel cared for.
  • Support Confidentiality & Accuracy – Manage sensitive client information with discretion and precision, supporting record-keeping and communication processes across the care team.
  • Other Duties as Assigned – The duties and responsibilities listed above are representative of the nature and level of work assigned and are not necessarily all inclusive.

This job also requires: 

  • High school diploma or equivalent.
  • One year of office experience, healthcare preferred. 
  • Strong computer skills, including proficiency in Microsoft Office. 
  • Familiarity with common office equipment (multi-phone, copier, fax, etc).
  • The ability to manage confidential information with professionalism. 
  • Ability to pass state mandated background checks.
  • Physical capability to perform all essential job functions.
  • Ability to read, write, and speak English to ensure effective communication with visitors, team members, and families.
