As a Wellness Coordinator, you’ll be the friendly and knowledgeable first point of contact for the Wellness Center. With a passion for service and a heart for wellness, you’ll help members, residents, and guests feel welcome, informed, and supported—whether it’s navigating insurance, booking rehabilitation appointments, or managing class schedules.
As a Wellness Coordinator, you will:
- Provide Front Desk Support – Welcome and assist all members, guests, and residents who enter the wellness center. Answer phones, provide tours, and be a trusted resource for information. Create a warm, customer-first environment while managing calendars, printed materials, and department communications.
- Coordinate Wellness Center Administration – Manage memberships, process insurance forms, copy cards, track authorizations, and maintain accurate records in scheduling and visit tracking software. Proactively research and support new insurance partnerships and reimbursement options.
- Support Rehabilitation Scheduling & Systems – Collaborate with therapists to ensure patient appointments are scheduled efficiently and accurately. Work to minimize inefficiencies, ensure a smooth flow of care, and optimize the rehabilitation experience for both patients and staff.
- Own Communications & Documentations – Prepare flyers, class schedules, and monthly reports. Maintain updated digital and physical records for all wellness programs. Ensure that all communications and documents reflect Vivie’s quality, clarity, and commitment to service.

This job also requires:
- High school diploma or equivalent required.
- Minimum of one year in wellness or administrative support, preferably in health care.
- Strong computer proficiency and ability to manage scheduling and documentation tools.
- Ability to pass state mandated background checks.
- Physical capability to perform all essential job functions.
- Ability to read, write, and speak English to ensure effective communication with team members, residents, and visitors.
