This position provides administrative, sales, catering, and event coordination support to the Vice President of Sales and Sales Manager for the dual-branded SpringHill Suites and Fairfield Inn Anaheim. The Sales Coordinator supports the sales team by managing client communications, preparing proposals and agreements, maintaining accurate information in sales systems and CRM platforms, coordinating group and catering details, and ensuring effective communication between hotel departments. The ideal candidate is highly organized, proactive, detail-oriented, and comfortable managing multiple priorities in a fast-paced hospitality environment. This individual should demonstrate strong communication skills, professionalism, follow-through, and the ability to work collaboratively with clients, guests, vendors, and hotel team members. Essential Job Duties and Responsibilities Other duties may be assigned. Supports the sales team with proposals, contracts, correspondence, reports, presentations, and client communications. Solicits and follows up with clients and prospects by phone, email, and in person to identify catering, social, group, and business opportunities. Maintains accurate prospect, account, group, catering, meeting, and activity information in sales systems and CRM platforms. Prepares catering proposals and agreements in accordance with hotel standards and client requirements. Coordinates booking details, including guest rooms, food and beverage, meeting space, room setups, audiovisual needs, billing arrangements, and special requests. Prepares and distributes Banquet Event Orders (BEOs) and communicates updates, revisions, and status changes to the appropriate hotel departments. Works with clients to obtain final event details and clearly communicates hotel policies, procedures, fees, and service expectations. Coordinates weekly BEO meetings and follows up on outstanding details to support successful event execution. Works closely with Operations, Front Desk, Reservations, Housekeeping, Food and Beverage, Accounting, and other departments to ensure proper client servicing. Oversees the setup and implementation of meetings and events, supporting a high-quality guest and client experience. Assists with client follow-up before, during, and after events to support satisfaction, repeat business, and continued relationships. Arranges billing requirements, including credit card guarantees, in accordance with hotel and Accounting policies. Maintains organized hard files and electronic records for new accounts and active business opportunities. Processes and distributes VIP amenities and other special client requests. Provides backup support to the Reservations team when needed, including accurately recording and relaying messages. Supports local sales efforts, including outreach to businesses and organizations, as requested. Performs other tasks and assignments as requested by management. QualificationsKnowledge, Skills, and Abilities Strong organizational skills and the ability to manage multiple priorities, deadlines, and details simultaneously. Professional telephone manner and the ability to interact effectively with clients, guests, vendors, and hotel team members. Clear and effective verbal and written communication skills in English. Working knowledge of Microsoft Word, Excel, email, and sales systems or CRM platforms. Ability to prepare professional proposals, contracts, correspondence, and other business documents. Ability to communicate pertinent booking and event information accurately across hotel departments. Knowledge of meeting-room setups and audiovisual equipment; experience with lighting, sound, or other event technology is preferred. Ability to maintain composure, professionalism, and objectivity under pressure. Ability to maintain confidentiality of guest, client, financial, and hotel information. Professional appearance and conduct at all times while on duty. Regular attendance and flexibility to work schedules that support client needs and catering functions. Ability to use standard office equipment, including computers, telephones, copiers, and calculators. Qualifications High school diploma or GED and six months to one year of related experience and/or training; or an equivalent combination of education and experience. Six months of experience in a hotel sales, catering, events, reservations, or similar role is preferred. Hospitality, customer service, or administrative experience is preferred. Ability to read and interpret documents, correspondence, and memos and communicate information verbally and in writing. Ability to effectively present information in one-on-one and group situations to guests, vendors, visitors, and employees. Ability to perform basic mathematical calculations using whole numbers, common fractions, and decimals, and to compute rate, ratio, and percent. A valid driver's license and reliable transportation may be required for local sales calls. Work Environment and Physical Requirements The work environment is primarily indoors, and the noise level is generally low to moderate. The position may require regular movement throughout the hotel, including standing, walking, bending, and navigating meeting and event spaces. The employee may be required to assist with event materials and work extended or flexible hours based on client and event needs. The employee may be required to drive to local businesses for sales calls, when applicable.
