BP Energy Center Operations Associate

Part-Time

Reports to:  Director of Administration

Supervises:  N/A

Status:  Full Time, Non Exempt

POSITION SUMMARY

The BP Energy Center Operations Associate facilitates the client and attendee experience through exceptional customer service and attention to detail, and proactively performs the facility’s daily operational duties. This role is central to ensuring the BP Energy Center remains a welcoming, well-run resource for nonprofit organizations and community partners across Alaska.

This position is an afternoon/evening shift from 11:30 am-8:30 pm, Monday through Thursday, and 8:30 am-5:30 pm Friday.

KEY RESPONSIBILITIES

Guest Support

  • Manage online, phone, and in-person reservation requests, following up with detailed communications for clients and staff.
  • Initiate, edit, and track invoices for client reservations.
  • Guide guests through policy and procedure information, ensuring a positive experience.
  • Welcome all guests and provide any assistance needed.
  • Walk clients through the meeting space check-in and check-out processes, clearly communicating expectations and answering any questions.
  • Provide technical assistance for facility technology that may interface with client devices.

Operational Support

  • Manage complimentary coffee and tea services and stations.
  • Pre- and post-screen meeting spaces, common areas, and restrooms for cleanliness and state of readiness; adjust as needed.
  • Perform exterior perimeter walks, removing trash and debris and ensuring a welcoming environment.
  • Manage supply and office inventory.
  • Perform interior plant maintenance.
  • Communicate regularly with the Director of Administration about facility needs.
  • Facility closing procedures, including facility preparation for the next day and alarm management.

QUALIFICATIONS

  • A combination of at least two years of relevant experience in customer service or hospitality roles.
  • Direct experience with a reservation system.
  • M365 experience (Outlook, Excel, Word, SharePoint, OneDrive).
  • Experience connecting devices to projectors and digital displays.
  • Event management experience preferred.
  • Knowledge of and commitment to Alaska communities and the mission of ACF.
