Position Overview

We are seeking an Executive Staff Assistant to support day-to-day tasker management for the National Guard Bureau (NGB) Executive Secretariat. This role monitors and routes ExecSec, ANG, and DM&A taskers through the electronic tasking system, tracks suspense dates, and coordinates meetings and correspondence in support of senior leadership.


The ideal candidate brings strong organizational skills, comfort working in a high-volume tasking environment, and the ability to communicate clearly with stakeholders across multiple directorates.


This position is contingent upon contract award.


Responsibilities

路 Monitor the ExecSec, ANG Workflow, and DM&A ETS queues; analyze, assess, and route taskers to NGB Joint Staff, ANG, and ARNG.

路 Screen tasks for clarity and completeness; communicate with tasking agencies regarding suspenses and workflow.

路 Enter taskers received via the Correspondence and Task Management System (CATMS), the DoD Directives Portal, mail, and email into the NGB ETS; determine OPR and staffing requirements.

路 Establish and track suspense dates; provide electronic, telephonic, or in-person reminders on due and overdue tasks.

路 Review completed products for format, quality, and compliance; close tasks in CATMS and ETS upon completion.

路 Coordinate meetings, distribute documents, and maintain document repositories in support of ExecSec staff actions.

路 Provide backup DM&A queue monitoring and routing to ensure continuity during DM&A Project Analyst absences or surges.

Requirements

路3+ years of experience managing tasker workflow, correspondence control, and document repositories in a DoD or federal environment.

路 Experience coordinating meetings and distributing time-sensitive materials to senior stakeholders.

路 Bachelor's degree or equivalent experience (preferred).

路 Familiarity with electronic tasking systems (ETS/CATMS) a plus.

路 Must have active SECRET clearance.
