About the Role:

The Business Systems Analyst plays a critical role in bridging the gap between business needs and technology solutions within an organization. This position is responsible to design and maintain existing HubSpot Systems. 

Reports to: VP, Strategic Services

Job Responsibilities

System Administration & Configuration

  • Configure and maintain HubSpot automation workflows, email templates, and forms
  • Design and implement solutions using company tools to meet the business’ needs (HubSpot Specific: workflows, sequences, lists, custom objects, etc.)
  • Conduct regular audits of workflows, lists, data, and properties to ensure optimal performance
  • Maintain data quality and consistency across multiple systems 
  • Develop and enforce data governance standards for contact properties, custom objects, and workflows

Requirements & Documentation

  • Gather and document business requirements from stakeholders across marketing, sales, and customer success teams
  • Document system configurations and maintain technical documentation
  • Create documentation and standard operating procedures
  • Develop and execute testing plans for new configurations

Project Leadership

  • Lead HubSpot related projects from requirements through implementation
  • Coordinate with business, IT, marketing, and sales teams on system changes
  • Offer operational and technical support for day to day issues as reported
  • Stay current with HubSpot updates and new features
  • Data, Integration & Reporting
  • Integrate HubSpot with other business systems (CRM, marketing tools, etc.)
  • Monitor data synchronization and work with Integrations Team to resolve any integration issues
  • Create custom reports and dashboards to track KPIs and business metrics
  • Recommend process improvements based on system capabilities and best practices

Job Requirements (including Education)

Required Experience:

  • 3+ years administering HubSpot, with demonstrated expertise in workflows, custom objects, and integrations
  • Advanced knowledge of HubSpot's core features including Marketing Hub, workflows, sequences, custom objects, and reporting tools
  • Experience with marketing automation and CRM platforms
  • Proven experience in requirements gathering and technical documentation
  • Strong analytical and problem solving abilities
  • Project management experience, particularly with technical implementations
  • Knowledge of marketing and sales operations
  • Excellent written and verbal communication skills

Preferred Experience:

  • Bachelor's degree in Business, Information Systems, Marketing, or related field
  • Experience or strong interest in using AI tools (e.g., Claude, Gemini) to improve personal and business process efficiency
  • HubSpot certifications (Marketing Hub, Sales Hub, or Operations Hub)
  • Experience designing scalable integration architecture (API limits, error handling, data mapping documentation)
  • Familiarity with data privacy standards (GDPR, CCPA, or general PII handling)
  • Data analysis and visualization skills 
  • Ability to read and modify existing JavaScript or Python for custom code to support debugging and troubleshooting
