Brief Job Description:

The Program Specialist II position reports to the Director of Compliance Unit. Primary duties include 1) assisting in the coordination of Quality Improvement and Compliance Unit activities, 2) acting as the state office liaison for external mortality reviews, 3) primary SharePoint administrator for SSLC State Office SharePoint sites, and 4) other duties as assigned.

Essential Job Functions:

1. Attends work on a regular basis and may be required to work a specific shift schedule or at times, even a rotating schedule, extended shift and/or overtime in accordance with agency leave policy and performs other duties as assigned.

 

2. Coordinates Quality Improvement and Compliance Unit activities such as videoconferences, scan calls, face-to-face meetings, and document request dates.

3. Provides information and reports to State Supported Living Centers and State Office staff. Provides assistance for document requests, maintains current information in SharePoint, updates compliance matrices, takes meeting minutes, and creates materials as needed.

4. State office liaison for external mortality reviewers. Maintains death log, contact lists, and due dates. Schedules state office mortality reviews. Reviews mortality documentation and uploads to external reviewer. Provides training and assistance to facilities as needed.

5. Administrator for SSLC State Office SharePoint sites. Gives and maintains appropriate permission levels and access.

Knowledge, Skills and Abilities (KSAs):

Knowledge of local, state, and federal laws related to the program area; of public administration and management techniques; of statistical analysis processes; of budget processes; of research techniques; of training and marketing techniques; and of program management processes and techniques.

Skill in identifying measures or indicators of program performance and in operating computers and applicable software.

Ability to gather, assemble, correlate, and analyze facts; to devise solutions to problems; to market programs; to prepare reports; to develop, evaluate, and interpret policies and procedures; to communicate effectively; and to train others.

 

Registrations, Licensure Requirements or Certifications:

Initial Screening Criteria:

Graduation from an accredited high school or GED.

Experience preparing executive and administrative reports, studies, or special projects.

Experience with complex, executive level coordination and written communications.

PC skills and experience using Word, Excel, and MS Outlook.
