This is a full-time position at 36 hours per week and has a starting hourly wage of $18.60/hour.
JOB SUMMARY
This position functions as a team member under the direction of the Associate Director of Education & Training. The Staff Development Coordinator assists as both a trainer and training administrator, delivering assigned curricula, coordinating onboarding and orientation programs, monitoring training compliance, and maintaining training records. The position will assist in the development of training materials and administration of the Learning Management System (Relias). Also working with the Training team assists in the implementation of agency training initiatives to ensure associates meet regulatory, agency, and professional development requirements.
JOB FUNCTIONS:
Regulatory and Corporate Compliance
- Assist with maintaining and revising policies, forms, procedures, index, and manuals as directed and distributed to appropriate people.
- Assist with ensuring all associates and training plans adhere to OPWDD guidelines and training requirements.
- Generate monthly Relias reports to ensure completion of 90-day training requirement for training plans, classroom training, and mandatory yearly updates to ensure all associates follow OPWDD regulations. Email notification to those affected.
- Assist in the evaluation of the training effectiveness and provide feedback to trainers.
- Manage Relias user accounts, organizational hierarchy, training assignments and create orientation classes to ensure compliance.
- This position is a Justice Center Mandated Reporter and must comply with all reporting requirements in accordance with applicable regulations and agency policy.
- Manage training records in Relias and ensure they are up-to-date and accurate.
- Will send requested staff training records to the QA Department to assist in investigations.
Fiscal Management
- Assist with adhering to the department budget.
- Recommend and develop new training opportunities that reduce the department’s fiscal liability.
Person-Centeredness Responsibilities
- Embed person-centered practices into all training activities and discussions.
- Ensure training reinforces respect for the rights, preferences, and choices of people supported by the agency.
- Encourage associates to develop skills that promote dignity, independence, and meaningful community participation.
- Model inclusive communication and decision-making practices.
- Reinforce the importance of dignity and respect when discussing incidents, investigations, or training scenarios.
Program Standards
- Assist in the development of training materials such as presentations, manuals, and guides.
- Assist with the organization of facilitation of onboarding and new employee orientation training.
- Work closely with Human Resources to ensure associate information and employment status are accurate in the HRIS and properly integrated with the training platform to support orientation and training compliance.
- Enroll new hires in orientation and maintain attendance records.
- Follow up after each monthly orientation to identify associates who did not complete all required sessions and notify management of outstanding training requirements.
- Maintain a SharePoint tracking spreadsheet to monitor associates who must return to orientation and ensure completion within the required 90-day timeframe. Send notices to associates and appropriate supervisors regarding incomplete training and upcoming orientation requirements.
- Change Training Plan due dates in Relias for all prerequisite courses that need completion prior to classroom orientation.
- Make copies of class materials which will include the following: sign-in sheets, folder packets, name tags, associate evaluations, instructor evaluations.
- Will send requested staff training records to the QA Department to assist in investigations as needed.
- Track all applicable required certifications in the Relias system.
Training
- Facilitate classroom and virtual training programs as assigned.
- Evaluate participant learning through testing, demonstrations, and post-training evaluations.
- Provide coaching and support to associates who require additional training assistance.
- Assist with continuously analyzing training programs and plans to identify and implement efficiency and compliance improvements.
- Coordinate and schedule Team Building sessions with programs as requested.
- Assist trainers with curriculum updates, classroom preparation, and training materials.
- Collect and analyze training evaluations from instructors and new hires and share results with instructors.
- Assist departments in identifying training needs and competency gaps.
- Working with management, research and recommending professional development opportunities that support associate growth, retention, and organizational objectives.
- Serve as a backup trainer for assigned curricula.
Physical Plant and Safety
- Assure safe working conditions and practices for associates.
- Adhere to OSHA standards ensuring that the physical site is maintained and immediately addresses areas of concern.
- Practice standard precautions and other appropriate infection control practices.
- Model and enforce Agency policies and procedures as they apply to safe training environments and practices.
Contact with Others
- Ensure internal and external written and verbal communications regarding the agency are positive and reflect our mission, vision and values.
- Develop and cultivate positive relationships with vendors and customers to develop and foster continued business relationships.
- Create and distribute training related communication material including monthly Training Newsletter.
- Member of the Training Collaborative and attend monthly.
- Member of Safety Committee and attend monthly.
- Virtual meetings/trainings will require the camera to be on at all times.
Additional Functions
KNOWLEDGE, SKILLS, AND ABILITIES:
- Ability to communicate effectively both orally and in writing, including speaking before groups and providing instruction in classroom and workplace settings.
- Ability to communicate and enforce policies and procedures in such a way that it moves people from compliance to commitment.
- Ability to understand and present technical reports and information to diverse individuals in a way that effectively transfers information.
- Ability to demonstrate effective skills in planning, organizing, directing and coordinating a wide variety of activities, developing implementing and communicating policies and procedures.
- Familiar with Excell, Word, Office 365, Teams, and PowerPoint and other programs.
- Plan and perform diversified duties involving knowledge in a wide range of curriculums and procedures where independent judgement will be required.
QUALIFICATIONS
- High School Diploma with some college coursework in a related field preferred.
- Two years of experience in a related position; experience delivering training, facilitating group discussions, or presenting information to individuals and groups.
- Ability to confidently speak before groups and effectively communicate information in classroom, virtual, and workplace settings.
- Mandatory SCIP R Instructor within the 6 months of hire.
- Mandatory CPR/FA/AED Trainer certification through the provider selected by the Arc New York Collaborative required within 6 months of hire.

ADDITIONAL QUALIFICATIONS/REQUIREMENTS:
Where position requires driving:
- Valid driver’s license for the state in which the person resides.
- Acceptable safe driving record.
- Requires travel between agency locations to facilitate and support training activities.
