Overview

The Assistant Coordinator is responsible for the clinical, operational, and administrative oversight of outpatient services in Baldwin County ensuring high-quality service delivery, staff supervision, productivity, and compliance with ADMH, Medicaid, Joint Commission, and CCBHC standards.

Responsibilities

Primary Job Functions

 

Program Operations & Clinical Oversight● Directs and organizes clinic● Assists in program planning, development, and implementation● Monitors program goals aligned with organizational strategy● Ensures program standards and objectives are met● Identifies problems and implements effective solutions● Monitors contracts and budget (if applicable)● Monitors caseloads and productivity of staff● Ensures staff provide quality services● Provides staff coverage for crisis intervention● Collaborates with internal programs, school systems, and community partners● Demonstrates ability to assess and de-escalate crisis situations● Adheres to professional code of ethics● Provides clinical supervision● Demonstrates competency in child/adolescent behavioral health

 

Personnel Management & Leadership● Interviews and screens applicants per HR policies● Provides staff orientation and training● Applies personnel policies consistently● Completes performance evaluations● Promotes team-based treatment● Provides leadership and supervision (individual and group)● Ensures staff competency

Supervision & Professional Development● Participates in clinical supervision and consultation● Incorporates feedback for improvement● Enhances clinical and leadership skills

Clinical Operations & Care Coordination● Conducts daily huddles● Oversees referrals and screenings● Coordinates intake scheduling and assignments● Oversees admissions● Monitors treatment plan approvals● Oversees transfers and transitions of care● Participates in MDT (Multi-Disciplinary Team) meetings● Oversees DHR reporting (as applicable)

Crisis Management● Reviews crisis reports and ensures follow-up● Brings crisis reports to huddle (with Assistant Director, Child and Adolescent Outpatient Services)● Supports crisis intervention coverage● Oversees crisis response processes

Documentation, Billing & Compliance● Oversees notes and billing accuracy● Ensures documentation is timely and compliant● Oversees treatment plan development and approvals● Ensures documentation supports medical necessity● Oversees audit readiness

Parent / Patient Communication Oversight● Oversees parent/guardian communication processes● Ensures calls are returned timely (within 24 hours)● Addresses urgent parent concerns immediately● Oversees complaint resolution and escalation● Ensures documentation of all parent interactions● Identifies trends in parent concerns and implements improvements

Productivity & Administrative Oversight● Monitors productivity● Oversees case load management● Oversees daily schedules and staffing● Reviews timecards and clockings● Reviews Mileage● Oversees purchasing and resource needs● Coordinates work orders● Oversees notebook review and documentation tracking

Training & Staff Development● Oversees new therapist supervision● Coordinates staff trainings (treatment plans, documentation)● Oversees Relias training compliance● Supports intern development● Develop programming to support AOP and COP interns● Provides reflective supervision (including Littles (0-5) program as needed)

Program & Community Engagement● Participates in BCBE meetings● Participates in Federal Program meetings● Participates in Children’s Policy Council (CPC)● Attends school-based collaboration meetings annually● Supports special programs (e.g., camps)

Additional Responsibilities● Daily Huddle participation● Monthly DMH Huddles● Monthly Child & Family Huddles● Intensive Home Services supervision (as needed)● Aftercare reporting● TPR team assignments● JCL commitments and training● Quarterly meetings● Monthly meetings with Prevention Supervisor (BCBE)● Orientation of new counselors with school systems● Clinic visits across all locations

Administrative Expectations● Participates in performance improvement activities● Participates in committees● Completes tasks timely● Uses community resources appropriately● Maintains licensure and CEUs

 

Work Environment● Clinic and community settings● Travel between locations required● Will be in each location weekly, regular schedule with no less than 1 day a week at each Baldwin County Location for the duration of a work day.● School-Based Clinical Oversight (if needed for Coverage)● Day Treatment (if needed for Coverage)

Qualifications

Minimum Qualifications● Master’s degree in a mental health discipline with two (2) years post-master’s experience● Licensure preferred (LPC, LMSW, LICSW, or equivalent)

Knowledge in adult and child/adolescent behavioral health competencies (within 6 months), including:● Psychiatric disorders across populations●  Growth and development (intellectual, emotional, physical, spiritual)● Community resources● Co-occurring disorders and addiction● Cultural diversity● Family dynamics and parenting●  Effects of abuse and neglect● Behavior management and crisis intervention (including non-violent crisis intervention)● Psychiatric rehabilitation principles● Educational methods for behavioral health populations● CANS (Child and Adolescent Needs and Strengths)● Alabama Department of Mental Health (ADMH), Medicaid, and Joint Commission standards
