Reports to: Human Resources Manager


A. Job Summary

This position is responsible for performing a variety of activities that support Human Resources functions. These activities may include, but are not limited to, recruitment and onboarding, administering pay, benefits and leave, Human Resources policies and procedures, recognition and retention programs, and coordinating engagement events, data entry and personnel record retention. 

This position reports to the Human Resources Manager and is responsible for communicating effectively with individuals within all departments. This position provides cross-functional support and professional development coordination to other departments, interacting with employees throughout the company and a variety of external contacts.

  • This position does not supervise individuals or teams


C. Duties and Responsibilities
  • Develop and maintain an understanding of relevant industry standards and regulations including but not limited to 21 CFR 820, 21 CFR 1271, AATB, MDSAP (per jurisdictional requirements), and ISO 13485, ensuring compliance with these requirements across the organization.  
  • Actively contribute to the fulfillment of Xtant Medical’s mission, values and quality policy
  • Maintain a safe, clean work environment and ensure proper disposal of hazardous and non-hazardous waste according to OSHA guidelines and Xtant Medical standard operating procedures (SOP)
  • Develop and maintain an understanding of Xtant Medical products 
  • Understand the interaction of departmental activities with the Quality System and their impact on the production of medical devices and human cells, tissues, and cellular and tissue-based products (HCT/Ps)
  • Adhere to Xtant Medical SOPs, Good Documentation Practices (GDP), and safety protocols
  • Ensure compliance with federal, state, and local employment laws and regulations, and company policies
  • Other duties as assigned


D. Employee Relations
  • Represent the HR department in a professional manner, appearance and with a positive attitude
  • Ensure that the corporate culture and values promote ethical practices, integrity, and a positive work climate to enable the business to attract, retain, and motivate a diverse group of quality employees
  • Use data to create employee profiles, and organize and updates employee files
E. Recruitment
  • Assist with hiring needs and workflow management through Xtant’s Applicant Tracking System. Activities include:
  • Advertise position vacancies (internal & external job boards, online job sites, and social media)
  • Represent Xtant at job fairs and other recruitment events
  • Screen applications and selection of qualified candidates
  • Schedule and conduct interviews, and oversee preparation of interview questions and other hiring and selection materials
  • Run various background checks and references to verify information
  • Collaborate with the hiring manager(s) and/or the VP of HR during the offer process, identify and recommend salary ranges, incentives, start dates, and other pertinent details
  • Prepare all necessary new hire agreements and paperwork
  • Explain company compensation and benefit programs, such as medical, insurance, retirement, and savings plans, and assist to enroll workers in specified programs
  • Conduct offboarding activities for employee terminations, including separation paperwork, internal notifications, system updates, equipment/company property returns, and exit interviews
  • Assist with coordination and facilitation of new hire employee orientation and LMS training as needed 
  • Assist with distribution of new hire surveys and analyzes feedback to ensure a top-quality onboarding experience as needed
  • Assist in developing and administer training materials to managers, supervisors, and employees on HR laws, policies and procedures, and recruitment and retention strategies
  • Assist to complete employment verification and employee credentialing requests as needed
  • Assist with implementation and administration of employee recognition programs
  • Assist to plan and coordinate employee group activities and engagement events
  • Assist in mailing, shipping, and receiving; prepare shipping labels as needed


F. Labor Relations
  • Handle routine labor relations and HR inquiries related to policies and procedures; refers complex matters to appropriate management staff
  • Maintain records related to hiring, termination, leave, transfer, and promotion particularly as related to Equal Employment Opportunity (EEO), affirmative action, and diversity initiatives


G. Occupational Safety and Health
  • Understand and ensure compliance with OSHA, and applicable federal, state, and local safety laws, regulations, and codes. Ensure completion of required OSHA recordkeeping and reporting
  • Inform employees of their rights and what to do if they notice unsafety work practices and procedures that are not in line with Xtant’s safety policies
  • Review, file and maintain Health and Safety incident reports and records and coordinate medical treatment for follow-up to incidents involving exposure to bloodborne pathogens. Ensure investigations of accidents are properly conducted to prevent reoccurrence of similar accidents
  • Raise awareness that workplace safety is an individual responsibility, and it benefits each person in the company
  • Collaborate with management to develop, prepare, and implement safety policies and procedures
  • Assist to assign required safety training in Xtant’s LMS and track completion to ensure training compliance
  • Assist with safety audits and inspections as required 


H. Payroll
  • Ensure accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates
  • Prepare and maintain accurate records and reports of payroll transactions
  • Ensure compliance with federal, state, and local payroll, wage, and hour laws and best practices
  • Serve as a backup for payroll entry and processing as needed
  • Create and maintain time and attendance policies for employees, including time off and leave policy assignments, and PTO cash out requests


I. Employee Benefits
  • Administer various employee benefits programs, such as group health, FSA/HSA, dental and vision, accident and disability, life insurance, leaves of absence and wellness benefits
  • Ensure benefits changes are entered appropriately in payroll system for payroll deduction
  • Coordinate workers’ compensation claims with third-party administrator. Follow up on claims as applicable


J. Financial Responsibilities
  • Submit timely expense reports and abide by the Expense Reimbursement Policy


K. Training
  • Complete required training prior to performing tasks, including initial orientation and environmental health and safety training. Keep training up to date and maintain required training documentation
  • Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, new hire training, compliance training, and professional certifications. Will upload all information electronically in the employee personnel files
  • Attend HR seminars and webinars as needed to stay up to date on all HR law and compliance issues


L. Document Control and Record Control
  • Complete all documentation accurately and legibly per GDP, retain records according to Xtant Medical’s procedures, and review others’ documentation as needed
  • Participate in changes to documents and processes
  • Maintain information in physical and electronic files as required


M. Performance of Duties

  • Maintain confidentiality of all employment matters and personnel information
  • Maintain confidentiality of donor and recipient information according to HIPAA


N. Required Skills/Abilities
  • Strong interpersonal, listening, and communication skills (both verbal and written) with the ability to engage with diverse personalities and situations requiring tact and judgement
  • Excellent organizational skills with keen attention to detail; able to manage multiple tasks efficiently and adapt to changing priorities
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and web-based teleconferencing platforms, with a solid understanding of office equipment and procedures
  • Skilled in researching, compiling, and analyzing information from multiple sources to identify and resolve problems independently
  • Ability to maintain confidentiality, work autonomously, and perform tasks with speed and accuracy
  • Strong analytical and problem-solving abilities with the capacity to interpret data and make informed decisions
  • Ability to comprehend, apply, and interpret relevant laws, guidelines, regulations, and policies
  • Capable of maintaining positive working relationships with colleagues and the public, recognizing scope and authority
  • Previous experience in records maintenance and document control is preferred


O. Education & Experience
  • High School diploma or GED is required. Bachelor’s degree in Human Resources, Business Administration, or other related field is preferred
  • Three (3) to five (5) years’ experience in Human Resources principles and practices (recruitment, training, company policies, compensation, benefits) is required
  • Three (3) years’ experience in administrative work with an emphasis on customer service in a fast-paced office setting is required
  • SHRM or HRCI Certified Professional credential is preferred, or must be willing to acquire SHRM or HRCI certification
  • Knowledge of State and Federal employment laws and regulations is strongly preferred


P. Working Conditions 
  • This position is based in an office environment
  • Standard work hours are Monday – Friday; 8:00 am – 5:00 pm, with occasional evening or weekend work based on project/production needs
  • Work will require periodic travel. The amount of travel will vary depending on business needs, with an estimated 5% of the time spent on travel
  • This position is located at 732 Cruiser Lane, Belgrade, MT with potential remote work or flexible hours available based on department needs
  • Adhere to all health and safety requirements specified when entering laboratory and device manufacturing areas and in the handling of company products


Q. Physical Requirements
  • Ability to sit, stand, and work at a computer for prolonged periods
  • Ability to lift, carry, push or pull items of varying weight, typically up to 25 lbs. 
  • Ability to safely operate a motor vehicle as required by the position. This includes the ability to drive for extended periods, in various weather conditions, and on different road types (urban, rural, highways, etc.)
