We are currently looking to add another Administrative Assistant to our team. The Administrative Assistant provides support to the organization and our customers. This is a full-time position working under the direct supervision of the Office Manager.

Job Description: Provide support to staff while also providing a point of contact to our many customers. Key duties include: answering phones, assisting other members of the staff, maintaining files, managing correspondence, preparing shipping paperwork and invoicing all shipments, corresponding with buyers regarding shipment status and related inquiries, closing out sales orders and jobs upon completion. A familiarity with the aerospace industry is a plus.

Position Specific Expectations
- Team player & lead by example, with strong communication, time management and attention to detail.
- Full-time, 40 – 45-hour work week, performing all tasks in a timely, safe and accurate manner while taking responsibility for the productivity and quality of your work.
- Follow procedures concerning office systems and recordkeeping, and ensure the security, integrity and confidentiality of company documents and records.
- Communicate and correspond with outside entities such as suppliers, vendors, customers and buyers, including all matters pertaining to shipments (status updates, documentation requests, issue resolution).
- Receive and process incoming customer orders, and generate internal and external documentation to evaluate and process quotations, customer orders and change orders.
- Prepare shipping paperwork, invoice all shipments, close out completed sales orders and jobs, and transfer completed parts to stock.
- Maintain the company's central filing system, including scanning and maintaining electronic copies of shipping and job documentation.
Required Training/Education/Experience
- Bachelor's degree and/or minimum of 5 years' experience in office operations.
- Knowledge of data and administrative practices.
- Knowledge of clerical practices with skills in computer operation and software usage.
- Good leadership, organizational and office problem solving skills.
