The Payroll Specialist plays a key role in the payroll team by supporting the accurate and timely processing of employee compensation. This role focuses on audit readiness, account reconciliations, bonus program support, and serving as a resource to payroll practitioners. The Payroll Specialist ensures compliance with federal, state, and local payroll regulations and supports the Payroll Manager with various projects and escalations.

Key Responsibilities:

  • Perform internal audits of payroll data and processes to ensure compliance, accuracy, and readiness for external audits.
  • Execute payroll account reconciliations, including gross-to-net, tax withholdings, and general ledger tie-outs.
  • Administer and track bonus, incentive, and special pay programs, ensuring accurate calculations and timely disbursements.
  • Act as a point of contact for payroll practitioners by offering guidance, best practices, and resolution support.
  • Support the Payroll Manager with reporting, escalations, data validation, and special projects.
  • Collaborate with HR, Finance, and Accounting on data alignment, retro adjustments, and audit inquiries.
  • Maintain detailed records and documentation in accordance with company policies and regulatory standards.
  • Assist with testing and implementation of system updates or new payroll-related tools.

Qualifications:

  • 2–4 years of payroll experience in a multi-state environment; union and bonus processing experience a plus.
  • Knowledge of payroll laws and regulations (FLSA, state/local tax, garnishments, etc.).
  • Experience with payroll systems such as ADP, Workday, UKG, or similar platforms.
  • Strong Excel skills (e.g., VLOOKUP, pivot tables) and experience with reporting and reconciliation.
  • High attention to detail and accuracy; strong problem-solving and analytical skills.
  • Excellent communication and interpersonal skills, with ability to support team members at all levels.
  • Ability to handle confidential information with discretion and professionalism.
