This role is responsible for coordinating day-to-day HR operations, supporting recruitment and onboarding, maintaining accurate employee records, assisting with employee relations, and ensuring HR processes are carried out consistently and in accordance with applicable policies and employment requirements. The ideal candidate is highly organized, approachable, adaptable, and able to manage multiple priorities in a fast-paced school environment. The successful candidate will be a quick learner, a collaborative team player, and comfortable traveling between school locations in the Buffalo and Rochester areas as needed. Key Responsibilities HR Administration Coordinate day-to-day HR activities and provide timely support to school administrators and employees. Maintain accurate and confidential employee personnel records and HR documentation. Process employee changes, including new hires, transfers, promotions, leave, and departures. Prepare employment letters, contracts, HR forms, and other documentation as required. Monitor employee records to ensure required documentation and certifications are current. Maintain HR databases and systems and prepare routine HR reports. Recruitment & Onboarding Coordinate recruitment activities, including posting vacancies, scheduling interviews, communicating with candidates, and maintaining recruitment records. Support background checks, references, employment verification, and other pre-employment requirements. Coordinate onboarding for new teachers and school staff. Ensure new employees receive required policies, training, systems access, and orientation information. Support school leaders throughout the hiring process. Employee Support Serve as a first point of contact for routine HR questions from teachers and school staff. Provide guidance on HR policies, procedures, benefits, leave, attendance, and other employment-related matters. Escalate complex or sensitive employee relations issues to the appropriate HR leader. Handle confidential and sensitive information with professionalism and discretion. Support employee engagement and recognition initiatives across the school community. Compliance & Policy Assist with ensuring HR practices comply with applicable employment laws, school policies, and organizational procedures. Track required employee credentials, certifications, background checks, and other compliance requirements. Assist with audits and HR reporting as needed. Help communicate updates to HR policies and procedures to school employees. Payroll, Benefits & Leave Support Coordinate with payroll and benefits teams to ensure employee information is accurate and changes are communicated promptly. Assist employees with questions regarding benefits, leave, attendance, and payroll-related HR matters. Maintain accurate records of leave and other employee status changes. School & HR Team Support Partner with principals, school administrators, and central HR staff to address staffing and employee needs. Support staff meetings, training initiatives, employee events, and other HR programs. Identify opportunities to improve HR processes and employee experience. Perform other HR-related duties and projects as assigned. Travel between Buffalo and Rochester school locations as needed to support HR operations. Qualifications Bachelor’s degree in Human Resources, Business Administration, Education, or a relevant field preferred. Previous experience in human resources, school administration, education administration, or a related field is preferred. Experience supporting recruitment, onboarding, employee records, and HR administration is a plus. Quick learner with the ability to understand and adapt to new systems, processes, and procedures. Strong organizational and time-management skills with the ability to manage multiple priorities. Excellent written and verbal communication skills. Strong attention to detail and accuracy. Ability to maintain confidentiality and exercise sound judgment when handling sensitive information. Strong interpersonal skills and the ability to work effectively with employees and school leadership at all levels. Must be willing and able to travel between Buffalo and Rochester locations as needed. Proficiency with Microsoft Office or Google Workspace and HR information systems.
