About the role:

As a Workplace Experience Coordinator, you will own the day-to-day operations of our San Francisco office and help make Coframe an exceptional place to work. You will ensure the workplace is organized, functional, and ready for the team while supporting equipment, supplies, onboarding, events, travel, and other operational projects. We are looking for someone who anticipates needs, takes ownership, and creates the systems that will help our workplace scale.

You're a great fit if you have:

  • Exceptional organization and attention to detail, with the ability to manage multiple priorities.

  • A proactive, resourceful approach to solving unfamiliar or time-sensitive problems.

  • Clear, professional communication with employees, executives, visitors, building management, and external vendors.

  • Comfort working independently and creating structure in a fast-moving environment.

  • Proficiency with Google Workspace, Slack, spreadsheets, calendars, and modern workplace tools.

  • Sound judgment and discretion when handling sensitive information.

  • Experience in office management, workplace operations, facilities coordination, administrative support, hospitality, or a similar role.

  • A genuine interest in creating a workplace where people feel welcomed and supported.

  • Ability to work onsite in our San Francisco office five days per week and occasionally move or coordinate the movement of workplace equipment.

  • Experience working at a fast-growing startup or helping establish or expand an office is a plus, but not required.

 

What You’ll Do:

  • Own the daily readiness and organization of our San Francisco office, including workspaces, kitchens, conference rooms, and shared areas.

  • Manage office inventory and purchasing, including supplies, furniture, computers, monitors, snacks, beverages, and other workplace equipment.

  • Coordinate mail, packages, maintenance, repairs, cleaning, building access, and facilities requests.

  • Serve as the primary point of contact for property management, contractors, vendors, and service providers.

  • Manage workspace planning, desk assignments, office moves, and new-hire setup, including equipment, building access, onboarding materials, and welcome items.

  • Coordinate onboarding and offboarding logistics in partnership with People, leadership, and hiring teams.

  • Maintain accurate inventory and records for company equipment and workplace assets.

  • Create a welcoming experience for employees, candidates, customers, and other visitors.

  • Support team lunches, celebrations, company events, offsites, travel, and site visits.

  • Assist leadership with scheduling, research, documentation, purchasing, and operational projects.

  • Build lightweight systems, checklists, and processes that make recurring work more efficient.

  • Proactively identify workplace needs and take ownership of unexpected operational issues as they arise.
