Job Overview
The People Operations Generalist supports HTI corporate and business units through quality service to managers and employees, effective administration of People Operations department responsibilities, and compliance and operational excellence assurance. This includes but is not limited to leading employee onboarding and orientation, ensuring accuracy of employee data and filing, overseeing recurring and ad-hoc audits, and regularly improving department practices and processes. This role serves as a core function of the People Ops department and should have a grasp on all aspects of policy, practices and programming and execute with ease. A successful People Operations Generalist works with peers to drive a best-in-class company culture, an engaged workforce, increased revenue generation, and ultimately profitability.
Responsibilities and Duties
Manager and Employee Support
- Provide consistent and quick service to managers and employees during business hours by answering questions and fielding requests, accurately identifying requests that must be elevated.
- Address inquiries by performing adequate due diligence and troubleshooting, escalating to the appropriate subject matter expert or accountable staff member when appropriate.
- Properly interpret and apply information within the employee handbook, company policies, and internal department guidance to accurately answer manager and employee inquiries.
- Become educated in People Operations areas of responsibilities to address routine questions immediately and directly, following up with the subject matter expert when necessary.
- Vet unemployment requests then complete unemployment verification inquiries or provide documentation for lack of eligibility.
Operational Excellence
- Support a variety of People Operations efforts as needed and requested by other department specialties.
- Provide input on change management and process improvement efforts across Service Center responsibilities to ensure corporate consistency and support rollout to teammates and business partners.
- Provide project support to People Operations efforts as requested which includes serving as a project team member and/or providing input to a project led by another department specialty.
Employee Onboarding and Offboarding
- Â Ensure an excellent new hire experience while administering pre-boarding and orientation including drug screens, background checks, I9 verification, and supporting or leading employee orientation meetings.Â
- Execute employee offboarding administrative activities in partnership with Business Partners.Â
Record Keeping and Data Management
- Execute and recommend practices to ensure employee files are kept accurate, clean, organized and up-to-date.
- Prioritize and perform regular audits of employee data in the HRIS to ensure accuracy and collaborate with teammates responsible for HR technology to perform continuous improvement activities.
- Understand HRIS data hierarchy, organizational structure and compliance requirements and ensure employees are properly classified in the HRIS.
- Ensure employee action notices (EANs) in the HRIS are properly addressed, completed timely and with excellence.Â
- Problem solve outstanding EANs with business partners, managers, and employees.
- Track completion of licenses and certifications for compliance and record keeping purposes.
- Prepare various employee documentation or notices as needed and requested.
ComplianceÂ
- Ensure statutory and regulatory compliance within all employment activities across HTI corporate and business units by conducting audits and contributing to improvement efforts.
- Act as a resource on compliance requirements for the department, executing research as needed.Â
- Significantly contribute to policy updates and employee handbook reviews and signature drives.Â
- Manage and execute required and requested recurring and ad-hoc federal and state audits, including FLSA, EEOC etc. classification of roles.Â
- Work with Business Partners to ensure practices adhere to policy and compliance requirements, including labor law postings are complete and up-to-date at all business locations.Â
- Work with Business Partners to ensure state and federal compliance in execution of employment actions such as hiring, employee separations, promotions, transfers etc.Â
- Review payroll to ensure adherence to timekeeping rules and requirements, flag issues and follow up with Business Partners.Â
Competencies and Qualifications
- An associates degree in human resources, management, business or related field and/or 3-5 years of experience in human resources or payroll, or a combination of both.
- Certification in human resources such as PHR or SHRM-CP is a plus.
- Experience in the transportation industry and/or a distribution business is a plus.
- Understanding of human resources processes, best practices and compliance requirements, and demonstrated ability to effectively research the same.
- Proficiency in a variety of HR systems and technology, or demonstrated ability to quickly become proficient.
- Proficiency with all Microsoft Office software, both desktop and online versions, including Word, Powerpoint, Excel, Sharepoint, Outlook, Teams, or demonstrated ability to quickly become proficient.Â
- Excellent organizational, prioritization and time management skills while responding to multiple requests at one time.
- A history of executing responsibilties in an efficient and effective manner for specific outcomes.
- Demonstrated commitment to customer service excellence and ability to offer responsive and solution-oriented assistance.
