Administrative Assistant – Urology Clinic 
Location: North MOB
Schedule: Monday–Friday, 8:00 AM–4:30 PM 
Work Model: On-site (with potential to move to a hybrid schedule in the future)

This role provides essential administrative and clinic support in a fast‑paced outpatient urology environment. The individual will work closely with providers, nurses, and clinic staff to support daily operations and patient care.

What Success Looks Like:

  • At 3 Months:

  • Working independently with mentor support

  • Understanding clinic workflows and priorities

  •  

  • At 6 Months:

  • Fully independent in assigned responsibilities

  • Confidently managing daily administrative and clinic tasks

  •  

  • At 12 Months:

  • Independently handling responsibilities while expanding skills

  • Taking on new tasks

  • Identifying opportunities and making recommendations for process improvements

Key Responsibilities:

  • Making pre-operative reminder calls for clinic cultures

  • Locating and managing clinic images and documentation

  • Providing administrative support to the Riley Urology Clinic

  • Assisting providers, nurses, and clinical team members as needed

  • Performing additional tasks as assigned to support clinic operations

  • Managing priorities effectively in a busy clinical setting

Skills & Qualifications for Success:

  • Highly organized, reliable, and responsive

  • Strong team player who works well with clinical and administrative staff

  • Ability to identify issues and prioritize tasks based on urgency and importance

  • Medical Assistant (MA) experience or medical office experience is a plus

  • Comfort working in a fast‑paced, patient‑focused environment

Administrative Support Functions:

  • Provides basic administrative and technical support to leaders and teams

  • Manages calendars, schedules, and meeting coordination

  • Coordinates travel arrangements when applicable

  • Processes invoices and handles routine inquiries

  • Addresses basic administrative and technical issues with general guidance

Required Qualifications:

  • High School Diploma or GED required

  • 0–3+ years of relevant experience required; previous administrative experience preferred

  • Basic proficiency with Microsoft Office applications, including Word, PowerPoint, and Excel

  • Ability to work effectively in a fast‑paced, complex, and matrixed organization

  • Strong organizational skills with the ability to manage multiple priorities
