Position Summary: The Project Coordinator provides clerical and administrative support to Group Managers and Project Managers, helping keep projects, proposals, and day-to-day office operations running smoothly. This role manages project tracking and reporting tasks, supports proposal and billing processes, and provides general administrative support to the assigned team. Requires 2+ years of general administrative and/or project coordination experience.

This position will work from the Phoenix, AZ office location 

Essential Duties and Responsibilities:

  • Enter new project information into Trileaf's internal tracking software
  • Set up new project reports using established templates
  • Create proposal requests and assist with proposal preparation
  • Perform QA/QC of client project orders
  • Support Project Managers with day-to-day administrative tasks, including scheduling meetings, coordinating calendars, and managing correspondence
  • Track project deadlines and deliverables, and follow up with staff to help keep projects on schedule
  • Maintain organized project files and documentation in accordance with company standards
  • Perform general clerical duties, including copying, scanning, faxing, and handling incoming and outgoing mail
  • Create Purchase Order Requests and track receipt of Purchase Orders
  • Track and order office supplies
  • Maintain a safe, clean, and presentable office/reception area
  • Serve as a point of contact for building management or landlord as needed

 Required Skills & Abilities:

  • Good computer skills with strong working knowledge of MS Office (Word, Excel, Outlook, PowerPoint) and Adobe Acrobat
  • Attention to detail in composing, typing, and proofing materials
  • Ability to establish deadlines and prioritize work accordingly
  • Ability to complete tasks quickly and on short notice with minimal direction or oversight
  • Excellent written and oral communication skills
  • Strong client service skills with the ability to interact with all levels of management
  • Excellent organizational and multi-tasking skills
  • Ability to develop relationships with team members
  • Energetic, professional demeanor, with the ability to work well independently or as part of a team
  • Ability to learn quickly and adapt in a fast-paced environment 

Education and Experience:

  • Associate's degree or equivalent required; Bachelor's degree a plus, with 2+ years of general administrative and/or project coordination experience preferred

Licenses and Certifications:

  • Valid driver's license and reliable transportation may be required depending on office needs

 Work Environment and Travel: 

  • This is primarily an office-based position with minimal travel required
