Job Overview:

The Executive Assistant (EA) serves as a trusted partner to the Senior Vice President (SVP) of Institution Client Succes, helping drive operational excellence, organizational effectiveness, and executive productivity across the organization. This role provides comprehensive support to the SVP and selected senior leaders while acting as a key liaison across executive leadership, business partners, and stakeholders.

The ideal candidate combines exceptional organizational and communication skills with sound business judgment, strong executive presence, and the ability to anticipate needs before they arise. The EA operates with a high degree of autonomy, manages sensitive and confidential information with discretion, and plays a critical role in enabling leadership effectiveness.

Responsibilities:

  • Serve as a trusted partner, proactively managing priorities, anticipating needs, and enabling leadership effectiveness.
  • Manage highly complex calendars, meetings, and executive schedules, balancing business priorities and resolving conflicts with sound judgment and urgency.
  • Lead the planning and execution of leadership operating rhythms, including staff meetings, business reviews, offsites, and executive forums; prepare agendas, presentation materials, meeting notes, and action-item tracking.
  • Support executive communications by helping to prepare presentations, briefing materials, correspondence, talking points, and organizational updates.
  • Partner with Business Management, HR, Finance, Communications, and other cross-functional stakeholders to coordinate strategic initiatives, meetings, communications, and organizational priorities.
  • Coordinate frequent travel, ensuring seamless logistics, detailed itineraries, and contingency planning.
  • Manage executive expenses, budget-related administrative activities, and assigned cost centers with accuracy and compliance.
  • Leverage AI-powered and digital productivity tools to streamline workflows, improve operational efficiency, automate routine tasks, and enhance executive decision-making.
  • Maintain and continuously improve administrative processes, operating procedures, documentation, and organizational workflows to drive scalability and effectiveness.
  • Build strong relationships across the organization while handling highly confidential information with the highest level of professionalism, discretion, and integrity.

Requirements:

  • 3+ years of executive administrative experience supporting senior executives or equivalent combination of higher education and experience
  • 3+ years’ experience coordinating domestic and international travel
  • Advanced proficiency with Microsoft 365 applications, including Outlook, Teams, PowerPoint, Word, and Excel, with exposure to AI-enabled workplace tools and productivity technologies to enhance efficiency and effectiveness

  • Ability to manage highly sensitive and confidential information with discretion and professionalism
  • Demonstrated success supporting multiple senior leaders in a fast-paced, complex environment
  • Exceptional calendar management and executive prioritization skills
  • Proven ability to operate independently, exercise sound judgment, and make decisions within established parameters
  • Strong writing, editing, and presentation support capabilities
  • Excellent project management and organizational skills with the ability to manage multiple priorities simultaneously


 

Pay Range:

$26.49-$44.12/hour


 

Actual base salary varies based on factors, including but not limited to, relevant skill, prior experience, education, base salary of internal peers, demonstrated performance, and geographic location.
