About the Role

The Philanthropy and Donor Engagement Administration Manger provides high-level administrative and project management support to the Chief Philanthropy and Marketing Officer. This role serves as a critical connector across the Philanthropy and Donor Engagement Department (PDE), ensuring smooth execution of philanthropic initiatives, timely follow-through on strategic priorities, and effective coordination between the PDE team and other functional areas of the organization.

What You'll Do

Administrative Support

  • Manage the Chief Philanthropy and Marketing Officer's calendar, correspondence, and meeting logistics, prioritizing competing demands and anticipating needs
  • Prepare briefing materials, agendas, and follow-up documentation for internal and external meetings
  • Draft and edit correspondence, presentations, and reports on behalf of the Chief Philanthropy and Marketing Officer Project Management
  • Lead and manage cross-functional projects supporting philanthropic strategy, tracking timelines, deliverables, and dependencies
  • Develop and maintain project plans using established project management methodologies
  • Identify risks and bottlenecks early and propose solutions to keep initiatives on track Interdepartmental Coordination
  • Serve as a liaison between the philanthropy function and other departments, facilitating alignment on shared goals and initiatives
  • Coordinate cross-departmental workflows and communication to support organizational priorities
  • Build effective working relationships across teams to support smooth execution of philanthropy related work

Strategic Support

  • Support the development and tracking of philanthropic strategy and departmental goals
  • Compile and analyze data to inform decision making and reporting
  • Assist in preparing materials for board meetings, donor engagements, and leadership presentations

What You Bring

  • 5-7 years of professional experience in administrative, project management, or operations roles, ideally within a nonprofit, philanthropic, or mission-driven organization
  • PMP certification beneficial
  • Demonstrated experience facilitating collaboration and coordination across departments or functional teams
  • Strong organizational skills with the ability to manage multiple priorities and deadlines simultaneously
  • Excellent written and verbal communication skills
  • High degree of discretion and sound judgment in handling confidential information
  • Proficiency in project management tools and standard office software
