Front Desk Administrative Position

 

We are seeking an experienced, dependable, and personable Front Desk Administrative team member to join our dental practice. The ideal candidate will have prior dental office experience, excellent communication skills, and a strong commitment to providing an exceptional patient experience.

The front desk is the first and last impression a patient has of our practice. We are looking for someone who is confident, professional, welcoming, organized, and genuinely enjoys helping people.

Key Responsibilities

  • Greet patients warmly and professionally upon arrival and provide an exceptional patient experience.
  • Answer phones promptly and courteously while handling patient questions and concerns with professionalism.
  • Schedule, confirm, reschedule, and coordinate patient appointments efficiently.
  • Check patients in and out accurately and collect patient payments and balances.
  • Verify insurance eligibility and benefits and communicate financial information clearly to patients.
  • Review treatment estimates and assist patients with understanding their financial responsibilities.
  • Maintain accurate patient information, insurance information, and communication notes in the practice management system.
  • Communicate effectively with the clinical team to ensure smooth patient flow and scheduling.
  • Monitor the schedule and identify opportunities to fill openings and maximize practice productivity.
  • Follow up with patients regarding unscheduled treatment, appointments, and outstanding balances as directed.
  • Handle patient concerns professionally and know when to escalate an issue to management.
  • Maintain confidentiality and follow HIPAA and practice policies.
  • Assist with daily front-office duties, including opening/closing procedures, messages, documentation, and maintaining an organized reception area.
  • Work as a team and contribute to a positive, respectful, and professional office environment.

Required Qualifications

  • Minimum of 1 year of dental front office experience preferred.
  • Experience with dental scheduling and insurance is strongly preferred.
  • Excellent customer service and communication skills.
  • Professional, friendly, and confident personality.
  • Strong attention to detail and organizational skills.
  • Ability to multitask in a fast-paced dental environment.
  • Comfortable discussing treatment costs, insurance benefits, and patient financial responsibilities.
  • Ability to handle difficult or upset patients calmly and professionally.
  • Dependable, punctual, and willing to be a team player.
  • Computer proficiency and ability to learn and utilize dental practice management software.
