Description

The Shipping & Transportation Coordinator is responsible for planning, coordinating, and optimizing transportation, shipping, and fleet operations to ensure products are delivered safely, accurately, and on time. This role serves as the primary liaison between drivers, production, customer service, vendors, and freight carriers to manage delivery schedules, maintain fleet readiness, control transportation costs, and support an exceptional customer experience.

Key Responsibilities


Logistics & Transportation Coordination

  • Coordinate daily delivery schedules and routes for company drivers and vehicles.
  • Collaborate with production, customer service, and sales teams to align shipping priorities with customer needs and production schedules.
  • Communicate delivery schedules, route changes, delays, and updates to drivers, customers, and internal teams.
  • Optimize delivery routes to improve efficiency, maximize vehicle utilization, and reduce transportation costs.
  • Resolve delivery issues and transportation-related concerns promptly and professionally.

Freight Management

  • Obtain and compare freight quotes from multiple carriers.
  • Schedule and coordinate LTL, FTL, parcel, and third-party shipments.
  • Build and maintain relationships with freight providers and transportation partners.
  • Review freight invoices, investigate billing discrepancies, and identify cost-saving opportunities.
  • Coordinate freight claims, damage investigations, and shipment recovery efforts.

Fleet & Compliance Management

  • Coordinate preventative maintenance and repairs with Penske and other service providers.
  • Schedule vehicle inspections, registrations, licensing renewals, and compliance requirements.
  • Maintain accurate fleet maintenance records and monitor vehicle downtime.
  • Support compliance with DOT regulations, company transportation policies, and safety standards.
  • Partner with drivers to address vehicle concerns and ensure fleet readiness.

Shipping Documentation & Reporting

  • Prepare and verify shipping manifests, bills of lading, delivery paperwork, and related documentation.
  • Track shipments and provide status updates to customers and internal stakeholders.
  • Monitor key performance indicators, including on-time delivery, freight costs, claims, and fleet utilization.
  • Maintain accurate transportation records and prepare reports for management.
  • Identify and recommend process improvements to increase efficiency and reduce costs.
  • Manage any and all claims and ensure that all required documentation is available.

Specialized Knowledge & Skills Required


Minimum Qualifications

  • High school diploma or GED required; associate degree in logistics, supply chain, business, or a related field preferred.
  • Minimum three years of experience in logistics, transportation, dispatch, shipping, or fleet coordination.
  • Experience coordinating deliveries and working with freight carriers.
  • Strong proficiency with Microsoft Office.
  • Experience using ERP, transportation management, or fleet management software preferred.
  • Knowledge of DOT regulations and transportation documentation requirements.
  • Strong organizational, analytical, and problem-solving skills.
  • Excellent communication and customer service skills.
  • Ability to manage multiple priorities in a fast-paced manufacturing environment.
  • Dependable, detail-oriented, and team-focused attitude.
  • Bilingual (English/Spanish) preferred.

Physical Requirements

  • Ability to sit, stand, and walk throughout the workday.
  • Ability to occasionally lift up to 50 pounds.
  • Ability to work in a fast-paced manufacturing and warehouse environment.
  • Ability to work in varying indoor and outdoor temperatures.

Schedule

  • Day shift with 8-10 hour shifts.
  • Must be available for occasional Weekend shifts based on production demands.
