Another Source's client, Pomona College, is recruiting a Cultivation Coordinator, The Pomona Plan to join their team in Claremont, California. This is a full-time, onsite opportunity.

Within Pomona’s Advancement division, the Office of The Pomona Plan focuses on life-income giving and building lasting relationships with donors who want to make a meaningful impact on the College. The team combines personalized donor engagement with thoughtful stewardship, analytics, and planned giving expertise. 

About this role: 

The Cultivation Coordinator is an opportunity to build experience at the intersection of donor relations, advancement operations, marketing, and data analytics. Reporting to the Associate Director of The Pomona Plan, you’ll play an important role in creating a welcoming and highly responsive experience for prospective and current donors while keeping the systems, data, and details behind the team’s cultivation efforts moving forward. 

You’ll often be one of the first points of contact for prospective Pomona Plan donors and will work closely with the Senior Director, Director, and Associate Director to support donor cultivation and stewardship. At the same time, you’ll become a key resource for CRM data, reporting, marketing lists, donor visits, and office operations. 

This could be a particularly strong opportunity for someone who enjoys working with people and data equally—and who wants to deepen their knowledge of advancement and planned giving in a higher education environment. 

Your Contribution Will Likely Include 

Donor Cultivation & Stewardship 

  • Serve as a welcoming first point of contact for prospective Pomona Plan donors responding to outreach and advertising, answering initial questions and connecting individuals with the appropriate gift officer. 
  • Support gift officers with donor cultivation and stewardship, including proposals, correspondence, visit preparation, follow-up, and ongoing relationship-management activities. 
  • Coordinate donor visits to campus, partnering across Pomona College to create thoughtful schedules and provide an exceptional experience from arrival through departure. 
  • Prepare visit materials, correspondence, and call reports and ensure donor interactions and next steps are accurately captured in the CRM. 
  • Maintain donor and prospect information in the CRM, including prospects, proposals, opportunities, call reports, marketing sources, appeals, and visits. 
  • Coordinate stewardship touches throughout the year, including birthday cards, holiday gifts, and other donor recognition efforts. 
  • Help select and manage stewardship gifts and vendor relationships while monitoring purchases against budget. 
  • Participate in the Pomona Plan marketing subgroup and partner with Advancement Communications on marketing strategy, implementation, and tracking. 

Data, Analytics & Advancement Operations 

  • Develop CRM lists for print and email marketing, office metrics, ratings, and portfolio management. 
  • Lead monthly cultivation analytics and reporting, including tracking leading cultivation indicators and proposal activity. 
  • Serve as a key partner to Advancement Services on CRM implementation, customization, enhancements, maintenance, and custom reporting. 
  • Research and maintain relevant planned giving and industry data, including commercial annuity rates and IRS discount rate projections. 
  • Support accurate, consistent data practices across donor cultivation and stewardship activities. 

Team & Office Coordination 

  • Serve as a primary point of contact for colleagues across Advancement and help connect donors, prospects, beneficiaries, and campus partners with the right resources. 
  • Coordinate team calendars, weekly meeting agendas and notes, office events, supplies, facilities requests, and other day-to-day operational needs. 
  • Support expense reporting and help monitor office expenditures against budget. 
  • Help organize workflows and prepare correspondence, reports, and other materials for the Pomona Plan team. 
  • Lead efforts to digitize office files while ensuring important historical information remains accessible. 
  • Provide additional administrative and CRM support to the donor services team as needed. 
  • Continue building your planned giving, CRM, project management, and technology expertise through ongoing professional development. 

Experience You Will Bring 

  • High school diploma or GED, or an equivalent combination of education and experience. 
  • Strong written and verbal communication skills with the ability to interact professionally and thoughtfully with donors, colleagues, and campus partners. 
  • Excellent interpersonal skills and the ability to build positive working relationships across a diverse organization. 
  • Strong attention to detail and the judgment to handle sensitive and confidential information with discretion and tact. 
  • Ability to organize competing priorities, meet multiple deadlines, and work effectively both independently and collaboratively. 
  • Working knowledge of basic math and statistics and the ability to support data analysis and reporting. 
  • Proficiency with Microsoft Office applications such as Word, Excel, and Outlook, with the ability to learn CRM, database, reporting, and planned giving technology. 
  • A commitment to high standards of integrity and ethics. 

Preferred experience includes: 

  • A college or advanced degree. 
  • Three years of development experience at a major academic institution. 
  • Two years of planned giving experience. 
  • Experience with tools such as Raiser's Edge, Salesforce Ascend, Cognos, Tableau, PG Calc, prospect research tools, or similar advancement and reporting systems. 
  • Familiarity with data management best practices within planned giving or advancement. 

What's in it for you: 

The anticipated hourly pay range for this position is $26.50–$30.90 per hour. 

This is a full-time, benefits-eligible position. Regular hours are 8:00 a.m.–5:00 p.m., Monday through Friday.
