We are seeking a detail-oriented and dependable Health Support Services Manager to support individuals receiving community-based residential services. This is a hybrid position. 



This position is responsible for maintaining accurate health-related records, coordinating medical appointments and follow-up, monitoring medication documentation, maintaining prescriptions and physician orders, and ensuring required documentation is current and complete.



The ideal candidate is highly organized, comfortable managing multiple priorities, and able to work independently while maintaining strong communication with staff, healthcare providers, and leadership.



Essential Responsibilities

  • Coordinate and track medical and follow-up appointments for individuals served.
  • Maintain accurate and complete health-related documentation within the electronic records system.
  • Review Medication Administration Records (MARs) for accuracy and compliance.
  • Track and maintain current prescriptions and physician orders.
  • Communicate with physician offices, pharmacies, and other healthcare providers to obtain required documentation.
  • Monitor records to ensure required updates and follow-up are completed timely.
  • Maintain current emergency and health-related information for individuals served.
  • Support staff with maintaining accurate and current information within electronic record systems.
  • Identify missing, incomplete, or outdated documentation and follow through until resolved.
  • Maintain organized tracking systems for appointments, prescriptions, orders, and outstanding items.
  • Work cooperatively with department leadership, staff, individuals served, families, and external providers.
  • Provide guidance and oversight related to department processes and documentation requirements.
  • Maintain confidentiality and follow organizational policies and applicable program requirements.
  • Perform additional duties as needed to support department and organizational operations.

Qualifications

  • Previous experience in healthcare administration, medication coordination, medical records, pharmacy, residential services, or a related field preferred.
  • Experience supporting individuals with intellectual and developmental disabilities is preferred.
  • Experience working with medications, prescriptions, physician orders, MARs, and medical appointments preferred.
  • Previous leadership, supervisory, or office management experience is a plus.
  • Strong organizational and time-management skills.
  • Excellent attention to detail and documentation accuracy.
  • Ability to manage multiple responsibilities and deadlines.
  • Strong written and verbal communication skills.
  • Ability to work independently and follow issues through completion.
  • Comfortable using electronic record systems, email, spreadsheets, calendars, and other office technology.
  • Ability to communicate professionally with healthcare providers, pharmacies, staff, families, and leadership.

Preferred Experience

Experience with community-based residential services, intellectual and developmental disability programs, electronic health records, medication documentation, and regulatory compliance is strongly preferred.


LPN licensure is preferred but not required, and candidates with relevant healthcare or medication management experience are encouraged to apply.
