Job Summary
The Inside Sales Associate serves as a primary point of contact for Victor Distributing Company's customers, providing knowledgeable and responsive service to HVAC contractors through counter, telephone, and electronic sales.
This position identifies customer needs, recommends appropriate equipment, parts, and supplies, prepares accurate quotes and orders, identifies additional sales opportunities, and coordinates with other departments to ensure orders are completed accurately and on time.
Employees in this position are expected to demonstrate accuracy, urgency, product knowledge, customer service, sales initiative, teamwork, and sound judgment regarding pricing and profitability.

Essential Duties and Responsibilities
- Provide professional, knowledgeable, and responsive service to customers at the sales counter, by telephone, and through electronic communication.
- Build strong customer relationships by understanding customer needs and providing reliable solutions for HVAC equipment, parts, supplies, tools, and accessories.
- Assist customers in identifying and selecting appropriate products, replacement parts, alternatives, and related items.
- Prepare and process accurate quotes, sales orders, invoices, returns, credits, payments, and other customer transactions.
- Verify product availability, pricing, quantities, model numbers, specifications, and order requirements to ensure accuracy.
- Identify opportunities for add-on sales and promote preferred products, equipment lines, promotions, and strategic product categories when appropriate.
- Exercise sound judgment regarding pricing and product recommendations while supporting Company sales and profitability objectives.
- Coordinate with warehouse, delivery, purchasing, outside sales, and management personnel to ensure customer orders are properly fulfilled.
- Assist customers with inventory availability, product substitutions, special orders, transfers, backorders, and expected delivery or pickup times.
- Research product specifications, compatibility, replacement options, and technical information necessary to assist customers.
- Resolve customer concerns and order discrepancies professionally and promptly, escalating issues when appropriate and taking ownership through resolution.
- Maintain working knowledge of Company products, manufacturers, pricing programs, sales procedures, and inventory processes through ongoing training and experience.
- Communicate relevant customer feedback, competitive information, pricing concerns, product demand, and sales opportunities to management and outside sales personnel.
- Follow Company policies, procedures, pricing guidelines, safety requirements, and internal controls while maintaining a professional and organized work environment.

- Sales aptitude and ability to recognize add-on and alternative sales opportunities.
- Ability to develop and maintain knowledge of HVAC equipment, parts, supplies, and related products.
- Sound judgment and problem-solving skills.
- Proficiency with computers, email, telephone systems, order-entry software, and other business technology.
- Ability to work effectively with sales, warehouse, purchasing, delivery, and management personnel.
Qualifications
- High school diploma or equivalent preferred.
- Previous HVAC, wholesale distribution, sales, or customer service experience preferred.
- Ability and willingness to learn HVAC products, Company systems, and sales processes.
- Equivalent combinations of education, training, and relevant experience will be considered.
Physical Requirements
- Ability to stand, sit, and walk throughout the sales counter, office, and warehouse for extended periods.
- Regular use of computers, keyboards, telephones, and other office equipment.
- Ability to bend, reach, stoop, crouch, grasp, and perform other movements necessary to access and handle products.
- Ability to occasionally use approved ladders or step stools.
- Ability to lift, carry, push, or pull merchandise weighing up to 50 pounds.
- Ability to safely work in or enter warehouse areas where forklifts, pallet jacks, delivery vehicles, and other material-handling equipment may be operating.
