Customer Service & Logistics Coordinator
About the Role
The Customer Service & Logistics Coordinator serves as a key point of contact for customers, carriers, and internal teams, supporting the order and shipment process from entry through delivery. This position is responsible for accurate order entry, shipment tracking and tracing, customer communication, transportation coordination, and resolving shipment-related issues.
The ideal candidate is organized, detail-oriented, customer-focused, and comfortable managing multiple orders and shipments in a fast-paced environment.
What You'll Do
Customer Service & Order Management
- Enter customer orders and shipment information accurately and timely.
- Review orders for completeness and accuracy.
- Monitor orders from entry through pickup and delivery.
- Provide customers and internal teams with timely shipment updates.
- Respond to customer questions regarding orders, shipments, pickups, and deliveries.
- Communicate proactively regarding delays, changes, or potential service issues.
- Research and resolve order and shipment discrepancies.
- Maintain strong relationships with customers, carriers, warehouse teams, and internal partners.
Track & Trace / Transportation Coordination
- Track and trace shipments throughout the transportation process.
- Monitor shipment status, scheduled pickups, and deliveries.
- Communicate with carriers regarding shipment readiness, pickup status, delays, and delivery expectations.
- Provide timely updates on shipment exceptions and delays.
- Follow up on late, missed, or delayed pickups and deliveries.
- Coordinate trailer swaps and other transportation requirements as needed.
- Escalate service issues and unresolved shipment exceptions to leadership.
Shipping Documentation & Administration
- Prepare and process Bills of Lading (BOLs) and other shipping documentation.
- Verify shipment information, PRO numbers, pallet/carton counts, and carrier details.
- Enter and update shipment information in applicable systems.
- Prepare required international shipping and customs documentation.
- Obtain and maintain signed shipping documents.
- Research and resolve missing or incomplete documentation.
- Maintain accurate and organized shipment records.
Reporting & Operational Support
- Prepare daily reports related to orders, shipments, pickups, deliveries, and operational activity.
- Monitor open orders and shipments to support timely completion.
- Identify recurring service or shipment issues and communicate trends to leadership.
- Maintain accurate records of shipment activity and exceptions.
- Support customer and logistics teams with special projects as needed.
Additional Responsibilities
- Assist with shipment preparation, re-stickering and labeling pallets
- Assist with basic dock coordination and shipment staging when necessary.
- Perform other duties as assigned.
What We're Looking For
- Customer service experience in logistics, transportation, distribution, or a related industry preferred.
- Experience with order entry, shipment tracking, track & trace, or transportation coordination preferred.
- Strong customer service and communication skills.
- Excellent attention to detail and accuracy.
- Ability to manage multiple orders and shipments simultaneously.
- Strong follow-up and problem-solving skills.
- Ability to communicate effectively with customers, carriers, warehouse teams, and internal stakeholders.
- Organized and able to prioritize work in a fast-paced environment.
- Comfortable working with computer systems and entering data accurately.
- Proficiency with Microsoft Office and the ability to learn transportation and order management systems.
- Knowledge of transportation terminology such as BOLs, PRO numbers, pickups, deliveries, and shipment tracking is a plus.
- Ability to work independently and as part of a team.
