As a highly visible member of the onsite team, this position helps keep the office and resident-facing areas prepared for daily operations while supporting residents, prospects, families, and the onsite team. Through responsive customer service, administrative support, leasing follow-up, community events, marketing, and resident engagement, the Community Assistant helps residents and prospects feel welcomed, informed, and supported.
Job Summary
The Community Assistant is a part-time member of the onsite property management team responsible for administrative, resident service, leasing, marketing, and community engagement support. The position helps ensure the leasing office, clubhouse, and other resident-facing areas are welcoming, organized, clean, stocked, and prepared for daily operations.The Community Assistant serves as a friendly first point of contact for residents, prospects, parents, guarantors, vendors, and visitors. Duties include answering phones, taking and routing detailed messages, resident and prospect follow-up, tours, package management, social media and marketing support, resident retention, and community events.This is a support position and does not have responsibility for property financial management or authority to make management-level decisions. Matters outside the position's scope must be documented accurately and routed promptly to the appropriate team member.

Key Responsibilities
Front Office & Administrative Support
- Open and/or close the leasing office according to established procedures.
- Keep the office, clubhouse, desks, and resident-facing spaces neat, organized, clean, and ready for residents and visitors.
- Prepare coffee and refreshment areas; keep designated snacks, beverages, supplies, and promotional materials stocked and presentable.
- Answer incoming telephone calls professionally and assist with routine questions within the position's scope.
- Take complete and detailed messages for matters requiring the Community Manager, Leasing Manager, Maintenance team, or another team member and route them appropriately.
- Monitor designated community email, communication platforms, and office correspondence as assigned.
- Assist with filing, organization, data entry, document preparation, supplies, and general office duties.
- Receive, organize, document, and assist with resident package management.
- Help maintain organization throughout the office, clubhouse, model, amenities, storage areas, and other designated spaces.
- Submit maintenance requests or communicate maintenance concerns to the appropriate team member.
Leasing & Prospect Support
- Greet prospective residents, residents, parents, guarantors, vendors, and visitors professionally.
- Conduct property, amenity, model, and available-unit tours as trained and authorized.
- Answer basic questions about the community, amenities, floor plans, approved promotions, and leasing process using approved information.
- Follow up with guest cards, prospects, leads, and tour traffic through approved communication channels and systems.
- Assist with renewal follow-up and resident communications as directed.
- Maintain accurate prospect and resident notes in approved systems.
- Support leasing, pre-leasing, renewal, occupancy, and resident retention goals.
- Maintain knowledge of the community, nearby colleges and universities, amenities, and approved promotions.
- Follow Fair Housing requirements and company leasing policies and procedures.
- Do not independently negotiate lease terms, rental rates, concessions, payment arrangements, exceptions, or other financial matters.
Resident Services & Community Engagement
- Provide friendly and responsive customer service for routine resident questions and requests within the position's scope.
- Assist with resident communications, notices, packages, work order requests, and front-office needs.
- Build positive resident relationships while maintaining professional boundaries.
- Plan, organize, promote, set up, host, and clean up resident activities and community events, including Drink of the Week, clubhouse activities, appreciation events, giveaways, contests, and other approved programming.
- Maintain event supplies and assist with calendars, signage, promotional materials, and resident communications.
- Support resident engagement, satisfaction, retention, and renewal initiatives.
- Identify opportunities to increase resident participation and engagement.
- Escalate complaints, emergencies, lease violations, safety concerns, significant resident issues, and requests outside the position's authority.
- Communicate professionally without making commitments or exceptions outside the authority of the position.
Marketing & Social Media
- Assist with community social media as directed, including photos, approved content, event promotion, and amenity highlights.
- Assist with campus outreach, resident referrals, housing fairs, tabling events, and approved marketing activities.
- Maintain marketing materials, signage, flyers, displays, and promotional items.
- Help gather appropriate content from community events and activities for marketing and resident engagement.
Community Appearance & Organization
- Perform light upkeep of communal and resident-facing areas, including straightening furniture, wiping surfaces, picking up minor debris, restocking supplies, and maintaining an orderly appearance.
- Walk designated common areas to identify cleanliness, organization, supply, or maintenance needs and communicate concerns.
- Help keep the clubhouse, leasing office, model, amenity areas, and other designated spaces welcoming and presentable.
- Assist with organization before and after events, move-ins, and other community activities.
- Light cleaning and organizational duties are part of this role; the position does not replace housekeeping, janitorial, grounds, or maintenance personnel.
Student Housing Responsibilities
- Assist with high-volume leasing periods, pre-leasing, renewal campaigns, and fall move-in activities.
- Support move-in, move-out, annual turn activities, and preparation of resident materials as directed.
- Assist with roommate matching processes and resident preference information as directed.
- Participate in university/community outreach, housing fairs, tabling events, and marketing opportunities.
- Assist with programming that promotes resident engagement, satisfaction, and retention.
Scope of Authority & Financial Responsibilities
The Community Assistant is a support-level position and is not responsible for the financial management of the property. Community Assistants do not independently:
- Manage property budgets, accounts payable, accounts receivable, financial reporting, bank deposits, or other property accounting functions.
- Approve or negotiate rental rates, concessions, payment arrangements, refunds, credits, fees, or financial exceptions.
- Make management-level decisions regarding resident accounts, lease violations, collections, evictions, or other matters requiring management approval.
- Make commitments or exceptions outside established policies and the authority specifically assigned to the position
- When a question or request falls outside the Community Assistant's authority or training, the Community Assistant must take a complete and detailed message, document the matter appropriately, and promptly route it to the appropriate team member.
Requirements

Education
- High school diploma or equivalent required.
- Current college or university enrollment preferred but not required.
Experience
- Previous customer service, hospitality, retail, office administration, leasing, marketing, or student leadership experience preferred.
- Previous student housing or multifamily housing experience preferred but not required.

- Ability to use computers, phones, office equipment, and standard workplace technology.
- Ability to work indoors and outdoors for tours, events, marketing activities, and property operations.
- Ability to perform light cleaning, stocking, setup, and organizational tasks associated with the position.
Working Conditions & Schedule
- This is a part-time position with hours scheduled based on property and business needs with personal schedule needs taken into consideration.
- Schedule may include weekdays, evenings, weekends, resident events, leasing events, and outreach activities.
- Additional or adjusted hours may be required during peak leasing, turn, move-in, and move-out periods.
- Regular and reliable attendance is an essential function of this position.
