Parts Order Coordinator
About the Role
We are seeking a detail-oriented and responsible Parts Order Coordinator to support the daily operations of our parts Department. This position will be primarily responsible for managing parts sales orders, monitoring open and backordered orders, following up on parts-related customer service cases, and coordinating with internal departments to ensure orders are processed accurately and efficiently.
 The ideal candidate is organized, proactive, and comfortable working with multiple orders and customer requests at the same time. This role requires strong follow-up skills and the ability to identify issues, communicate with the appropriate teams, and drive open items toward resolution.
Key Responsibilities
•   Process daily parts sales orders accurately and efficiently in the ERP system.
•   Review new and open orders and verify part numbers, quantities, inventory availability, and order information.
•   Monitor open orders and backorders and follow up on outstanding or unfulfilled orders.
•   Coordinate with the warehouse regarding order picking, fulfillment, missing parts, and inventory discrepancies.
•   Review and follow up on assigned parts-related customer service cases, including missing, incorrect, damaged, or delayed parts.
•   Check order history, inventory status, and tracking information to provide routine order and parts status updates.
•   Update order status, case notes, and internal tracking records accurately and on time.
•   Assist with routine order corrections, cancellations, inventory transfers, and other parts-related requests.
•   Escalate unusual, long outstanding, or unresolved issues to the Parts Manager or appropriate department.
•   Complete assigned daily order and case follow-up tasks and support other routine Parts Department operations as needed.
Qualifications
Required
•   Previous experience in order processing, customer service, warehouse operations, parts, or inventory is preferred.
•   Basic computer skills and ability to learn ERP systems.
•   Experience with NetSuite is a plus.
•   Basic Microsoft Excel or Google Sheets skills.
•   Strong attention to detail.
•   Good organizational and time management skills.
•   Ability to perform repetitive tasks accurately and consistently.
•   Ability to follow established procedures and work instructions.
•   Good written and verbal communication skills.
•   Ability to work with multiple internal departments.
Preferred
•   Bilingual in English and Mandarin.
•   Experience in automotive, powersports, EV, or mechanical products.Â
•   Experience reading service manuals and wiring diagrams.
