Description

The Administrative Services Supervisor is responsible for providing administrative and operational support across the organization.  Reporting to the Executive Assistant, Solutions and Services, this position  will support two Vice Presidents, their respective teams, and cross-functional  business partners to ensure the efficient execution of daily operations.  Additionally, the role serves as a key resource for front office operations in  a fast-paced office environment.


Key Responsibilities: 

• Provide administrative and operation support across the organization, including assistance to two Vice Presidents, their respective teams, and cross functional business partners to support day to day operations, special projects and adhoc requests.

• Directly supervise two Office Administrators supporting the Champlin and Dayton office locations; manage schedules, coverage plans, and administrative assignments to ensure seamless office operations and front desk support.

• Provide backup support and coordinate cross-training activities to maintain continuous administrative coverage and operational effectiveness.

• Foster accountability and collaboration to ensure high-quality administrate support and exceptional customer service across both office locations.

• Anticipate needs, proactively resolve issues, and adapt priorities to meet evolving business demands in a fast past work environment

• Serve as a visible and accessible on-site resource that drives productivity and positive employee experience.

• Support departmental activities by coordinating meetings, team events, communications, and other operational requirements.

• Field and route questions from employees, visitors, customers, and vendors. 

• Manage workstation and office assignment records across both locations and serve as the primary contact for workspace requests.

• Maintain conferences rooms, offices, and common areas so that they are organized and meeting ready.

• Process and approve expense reports accurately and in compliance with policy. 

• Ability to travel between the Champlin and Dayton offices to support office operations, meetings, and business priorities, with Dayton as the primary work location.

• Provide backup support to the Executive Assistant as needed to ensure uninterrupted support for leaders and business operations.



 Qualifications: 

· Associate’s degree in a related field or equivalent professional experience in administrative support, office management, or business operations.

· Minimum of 3 years administrative support experience, including supporting senior leaders.

· Proven ability to manage multiple priorities and adapt to changing business needs in a fast-paced environment. 

· Strong organizational, time-management, and problem-solving skills with excellent attention to detail. 

· Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams and SharePoint.

· Motivated self-starter with a commitment to continuous learning, professional development and process improvement.

· Ability to supervise, and coach administrative team members while promoting collaboration and service excellence. 

· Strong customer service orientation and ability to build positive working relationships with employees, leaders, customers, visitors and vendors.
