Gemini is looking for an Administrative Assistant to join the team at our location in Decorah, IA! This position is responsible for providing professional administrative, front desk, and office coordination support for the manufacturing site. Schedule:Â 1st Shift - 5 8-hour days 7:30 am -4:00 pm, Monday - Friday
A day in the life of an Administrative Assistant at Gemini is:
- Manage front desk operations by answering and routing incoming phone calls, greeting candidates, visitors, walk-in traffic, and vendors, and providing a professional first impression of the organization.
- Support the candidate and visitor experience by coordinating arrival details, notifying appropriate team members, maintaining sign-in procedures, and ensuring guests are directed appropriately.
- Provide administrative support to manufacturing leaders, including meeting coordination, document preparation, follow-up tracking, errands, and other day-to-day office needs.
- Coordinate vendor relationships and services for facility and office support needs, including landscaping, snow removal, cleaning services, and other site-related vendors.
- Support vendor communication, service scheduling, issue resolution, invoice follow-up, and coordination of on-site work to ensure services are completed timely and professionally.
- Coordinate event management details for meetings, employee events, leader gatherings, training sessions, and other company functions, including logistics, supplies, meals, room setup, communication, and follow-up.
- Plan and coordinate Connection Meeting luncheons, including meal ordering, attendance tracking, room preparation, and supply needs.
- Maintain office supplies, shared spaces, conference rooms, and front desk materials to ensure an organized and welcoming environment.
- Assist with internal communications, correspondence, reports, forms, and other documents as requested.
- Work with confidential information and uphold confidentiality, professionalism, and discretion.
- Follow all safety and quality rules and regulations.
- Display a continuous improvement driven mindset and actively participate in continuous improvement projects.
- Other duties as assigned.

Qualifications
- High school diploma or equivalent required; Associate’s degree in Business Administration, Office Administration, or related field strongly preferred.
- Previous administrative, receptionist, office coordination, customer service, or related experience preferred.
- Must be able to handle confidential information with professionalism, discretion, and sound judgment.
- Experience coordinating vendors, events, meetings, or office support activities preferred.
- Experience providing professional front desk support in an office, manufacturing, or customer-facing environment preferred.
- Must have a valid driver’s license to support errands and company functions, as needed.
