OVERVIEW
The Children’s Ministry Operations Coordinator is responsible for developing, coordinating, and continually improving the systems, workflows, communication strategies, calendars, and operational processes that enable Children’s Ministry staff and volunteers to minister effectively. Serving as a central operational resource for the Children’s Ministry team, the Operations Coordinator helps ensure ministry initiatives are well planned, clearly communicated, and effectively executed across campuses.
RESPONSIBILITIES
Communication & Family Engagement
- Develop and coordinate Children’s Ministry communication to families and volunteers, including weekly updates, event promotion, registration communication, volunteer onboarding, digital communication, promotional materials, and department-wide messaging.
- Serve as the primary Children’s Ministry communication contact for program information, policies, events, and ministry updates.
- Partner with the Communications team to ensure Children’s Ministry communication is timely, accurate, engaging, and aligned with Wooddale’s communication strategy and standards.
Ministry Operations
- Develop, coordinate, and continually improve systems and workflows supporting registration, volunteer coordination, scheduling, events, and weekly ministry programming.
- Oversee ministry calendars, timelines, and operational plans for weekly, seasonal, and special ministry activities.
- Coordinate the operational and logistical needs of Children’s Ministry events and initiatives, ensuring staff and volunteers have the information and resources needed for successful implementation.
- Anticipate ministry needs, identify operational challenges, and develop solutions that improve effectiveness and efficiency.
- Help establish consistent systems and processes across the Eden Prairie and Edina campuses while accounting for campus-specific ministry needs.
Team Support & Collaboration
- Partner with Children’s Ministry staff on projects, events, and ministry initiatives within the scope of this role.
- Work closely with administrative support staff to ensure established ministry systems and processes are implemented accurately and consistently.
- Participate actively in Wooddale staff and Children’s Ministry team meetings.
- Provide hands-on operational support during designated Wednesday and Sunday ministry programming.
- Contribute to a healthy, collaborative team culture through effective communication, problem-solving, and support of staff and volunteers.
QUALIFICATIONS
- Bachelor’s degree preferred.
- Strong organizational, planning, project management, and problem-solving skills.
- Excellent written and verbal communication skills with strong attention to detail.
- Demonstrated ability to develop, implement, and improve organizational systems and processes.
- Ability to translate ministry goals into clear plans, timelines, communication, and operational processes.
- Ability to manage multiple priorities and deadlines in a fast-paced ministry environment.
- Strong interpersonal skills and ability to collaborate effectively with staff, volunteers, families, and ministry partners.
- Proficiency with Microsoft Office Suite, creative/design programs, and ministry or organizational platforms such as Planning Center, FellowshipOne, and ProPresenter.
- Ability to handle confidential information with discretion and professionalism.
- Subscribe to and affirm the Statement of Faith and Covenant of Wooddale Church.
- Become or remain a member in good standing of Wooddale Church.
- Be a regular participant in public worship at Wooddale Church.
RELATIONSHIPS
Reports to the Children’s Ministry Director.
Works closely with Children’s Ministry staff, administrative support staff, volunteers, families, campus ministry leaders, and the Communications team.
WORK ENVIRONMENT/PHYSICAL DEMANDS
This job primarily operates in an office setting and will include using standard office equipment. The employee is regularly required to talk or hear and frequently required to stand, walk, use hands, and reach with hands and arms. This job also requires the ability to lift up to 30 pounds, repetitive bending, stretching, and stooping, climb up and down stairs, have mobility required to ensure the safety of children, and work with children on the floor. The physical demands described here are representative of those an employee must meet to successfully perform the essential functions of this job.
BENEFITS & COMPENSATION
Wooddale Church offers a comprehensive benefits package for all 40+ hour full-time employees, which includes opportunities to elect Medical (30+ hour full-time), Dental, Life/AD&D, HSA, Flex, LTD, optional Vision, optional Life/AD&D, and a 403(b) retirement plan with company match and immediate vesting.
Projected hourly rate is $20.50–$24.00 depending upon experience and qualifications.
