This new path inspires us to look ahead and the lead the way with passion.  Job Overview The Real Estate & Business Services Support Administrator reports directly to the Vice President of Real Estate & Business Services and functions as the operational control owner and technical administrator for the division. The position is accountable for the integrity, availability, configuration, governance, and continuous improvement of critical mortgage and business-services systems, data, reporting, workflows, vendor relationships, and administrative controls. The role independently manages assigned projects from requirements definition through implementation, testing, deployment, stabilization, documentation, and post-implementation review, and is responsible for identifying operational risk, escalating control gaps, and driving corrective action to completion. The position owns divisional third-party operational oversight for Treasury Services, Business Electronic Funds Payments, money movement products, related technology platforms, and strategic vendor partnerships. It also serves as the primary divisional coordinator for internal and external audits, regulatory examinations, compliance documentation, management reporting, remediation tracking, and evidence production. The incumbent is expected to understand how systems, data, controls, vendors, and lending operations interact and to translate that understanding into scalable processes, accurate reporting, and defensible operations controls. The ideal candidate is a technically capable operational leader who takes direct ownership of assigned systems, processes, projects, controls, and deliverables. This individual combines strong financial services knowledge with project-management discipline, data analysis, systems administration, vendor governance, documentation standards, and risk awareness. Master's desirable.  Minimum of 7 years of progressive financial-services experience, including direct responsibility for lending operations, systems, analytics, compliance, project delivery, vendor management, or related operational functions. Minimum of 5 years of progressive financial-services leadership, management, or accountable functional ownership experience, including demonstrated responsibility for cross-functional deliverables and operational outcomes. Minimum of 3 years of formal project-management experience or demonstrated ownership of complex enterprise or business-unit implementations from requirements through deployment and stabilization. Minimum of 2 years of direct responsibility for Treasury Services, electronic funds payments, money-movement products, related technology platforms, vendor relationships, or comparable transaction-processing operations. Strong working knowledge of NCUA examination expectations, internal and external audit practices, operational risk management, evidence standards, remediation tracking, and financial-institution control environments. Strong understanding of mortgage, commercial, and business-services operations; financial-industry concepts; applicable laws and regulations; data integrity; internal controls; and third-party risk management. Excellent communication skills and an avid listener, strong business writing is a must. Quick to adapt to a fast-paced environment. High integrity, detail-oriented, and ability to evaluate risk.  Advanced proficiency with Microsoft Office and strong working proficiency with reporting, analytics, workflow, loan-origination, document-management, and web-based financial-services systems. Ability to learn system configuration, reporting logic, and data structures quickly. Role Description and Essential Duties  Owns the execution and quality of assigned divisional administrative and operational support functions, ensuring deliverables are accurate, timely, documented, and aligned with established service-level expectations. Serves as the primary project manager and accountable business owner for assigned Real Estate & Business Services initiatives and enterprise projects. Establishes scope, requirements, milestones, dependencies, risk logs, testing plans, implementation readiness, stakeholder communication, issue escalation, documentation, and post-deployment validation. Owns business-unit systems administration for departmental point-of-sale systems, loan-origination systems, regulatory-reporting applications, workflow platforms, document repositories, and other production lending and deposit technologies. Maintains configuration standards, user-access governance, role permissions, workflow rules, change documentation, testing evidence, issue logs, release readiness, and vendor escalation through resolution. Owns operational administration and vendor governance for Treasury Services, Business Electronic Funds Payments, and money-movement products, including platform performance, product configuration, implementation, service-level monitoring, issue management, change control, contract deliverables, risk review, and partnership accountability. Maintains ownership of mortgage and business loan file-control processes, including file completeness, document indexing, exception tracking, records retention, data accuracy, and remediation of identified documentation deficiencies. Coordinates and validates mortgage loan-file transfers to sub-servicers and servicing operations, ensuring required documents, data elements, boarding information, exception resolution, and transfer controls are complete and reconciled. Administers Real estate and Business services file storage and controlled operational processes involving held funds, advances, construction draws, repair escrows, renovation disbursements, and related reconciliations. Maintains supporting documentation, approval evidence, segregation-of-duties controls, and exception tracking. Owns the daily operational process for mortgage pricing and rate updates within applicable systems, including source validation, effective-date control, system input, secondary review, change documentation, and escalation of pricing discrepancies. Administers and reconciles internal Real Estate & Business Services incentive and approved external referral tracking, ensuring source data, eligibility, calculations, approvals, and reporting are complete and auditable. Maintains end-to-end working knowledge of mortgage, commercial, small-business, and business-banking workflows. Maps process dependencies, identifies control gaps and bottlenecks, quantifies operational impact, and develops scalable recommendations, tools, automation, and standard work to improve throughput and member experience. Owns continuous-improvement activities for assigned processes. Establishes current-state and future-state workflows, control points, procedures, service standards, exception paths, and measurable outcomes; monitors adoption and corrects process drift. Owns assigned operational controls supporting Regulation C/HMDA and other regulatory reporting requirements, including data validation, edit review, exception research, correction tracking, submission support, documentation retention, and evidence of control performance. Performs and documents loan-quality and operational-control reviews to identify material defects, compliance gaps, data-integrity issues, documentation deficiencies, workflow exceptions, and root causes. Tracks corrective actions to verified closure and reports recurring trends to management. Monitors designated loan-approval and wire-transfer workflows for adherence to authorization, dual-control, documentation, timing, and escalation requirements. Investigates exceptions and ensures corrective actions are documented and resolved. Owns the controlled development and maintenance of departmental loan templates, operational forms, job aids, system guides, procedures, and supporting documentation, including version control, approval history, effective dates, and retirement of obsolete materials. Serves as the divisional audit and examination coordinator. Manages request lists, evidence collection, document quality control, response tracking, auditor and examiner follow-up, management-response drafting support, remediation plans, accountable owners, target dates, validation evidence, and closure reporting. Produces management, compliance, audit, regulatory, and board-support reporting with documented data sources, reconciliation procedures, definitions, quality controls, and delivery schedules. Escalates material variances, data-quality concerns, and missed control thresholds. Owns intake, prioritization, analysis, documentation, and delivery of recurring and ad hoc Real Estate & Business Services reporting and analytical requests, ensuring outputs are reproducible, appropriately controlled, and decision-useful. Owns recurring divisional reporting, including mortgage funding reports, business commitment reports, tickler and covenant reports, delinquency reporting, call-report support schedules, commercial-lending dashboards, exception reporting, and other management information. Reconciles source systems, documents logic, investigates variances, and maintains reporting calendars and controls. Designs, implements, and maintains lead-tracking, pipeline, referral, conversion, and activity-reporting processes for Real Estate & Business Services. Establishes data definitions, required fields, ownership, quality standards, reporting cadence, and exception follow-up. Performs month-end reconciliation and analytical review of departmental operational and financial data. Researches unexplained variances, documents reconciling items, assigns corrective actions, and confirms resolution before reporting is finalized. Owns coordination and lifecycle administration of departmental technology assets and data-acquisition equipment, including inventory, implementation, updates, issue escalation, vendor coordination, and business-continuity considerations. Owns assigned third-party vendor oversight throughout the vendor lifecycle, including due diligence, risk assessment support, contract and SLA monitoring, performance reviews, issue and incident management, quality assurance, renewal support, documentation retention, and remediation tracking. Coordinates and evaluates third-party mortgage quality-control activity, including pre-funding, post-closing, and servicing reviews. Tracks findings, trend analysis, management responses, corrective actions, recurring defects, and evidence of remediation. Translates divisional strategic priorities into executable work plans, measurable deliverables, operating requirements, project milestones, and reporting mechanisms, and maintains accountability for assigned initiatives through completion. Analyzes organizational structure, capacity, workflows, technology utilization, controls, strategic plans, and short- and long-term operating requirements. Develops evidence-based recommendations for efficiency, scalability, role clarity, risk reduction, and service improvement. Evaluates the financial and operational impact of proposed changes, vendor solutions, projects, and processes, including cost, capacity, productivity, risk, member impact, and expected return. Provides recommendations supported by quantitative analysis where practical. Maintains operational compliance with applicable BSA/AML, CIP, SBA, NCUA, consumer-compliance, information-security, records-management, and internal-control requirements relevant to assigned responsibilities, systems, products, and processes.
