Position Overview 

 

RJW Logistics Group is seeking a detail-oriented and analytical Claims Analyst to support the administration, investigation, resolution, and recovery of freight, warehouse, inventory, and transportation-related claims. This position serves as a key liaison between customers, carriers, warehouses, operations teams, customer account management teams, accounting, and insurance representatives to ensure claims are processed accurately, professionally, and within contractual filing deadlines and liability limitations. 

The Claims Analyst is responsible for reviewing claim submissions, gathering supporting documentation, conducting investigations, determining liability, analyzing financial exposure, pursuing carrier recoveries, maintaining claim records, and supporting continuous process improvements within the Claims Department. 

The ideal candidate possesses strong analytical, organizational, customer service, and communication skills and thrives in a fast-paced logistics environment. 

 

Essential Duties and Responsibilities 

 

Claims Intake & Administration 

  • Receive, review, and process incoming freight, warehouse, inventory shortage, damage, loss, non-delivery, and service failure claims. 
  • Verify claim submissions for completeness and ensure all required documentation has been received. 
  • Create and maintain claim files within department databases and claim management systems. 
  • Maintain accurate claim records throughout the lifecycle of the claim. 
  • Monitor claim filing deadlines and ensure compliance with contractual notice requirements. 
  • Communicate claim receipt and documentation requirements to customers. 
  • Identify and escalate potentially high-value or complex claims. 

Claims Investigation 

  • Conduct thorough investigations into product loss, damage, shortages, inventory discrepancies, non-delivery, and service failures. 
  • Analyze Bills of Lading (BOLs), Proofs of Delivery (PODs), freight invoices, inventory records, photographs, warehouse transaction history, transportation records, and customer documentation. 
  • Coordinate with warehouse operations, transportation teams, customer account teams, and carriers to gather facts and supporting evidence. 
  • Determine root cause and document investigative findings. 
  • Evaluate contractual obligations, tariffs, transportation agreements, warehouse agreements, and customer-specific requirements. 
  • Assess liability based on available documentation and applicable contractual provisions. 
  • Assess applicability of loss allowance application.  

Carrier Recovery & Subrogation 

  • Prepare and submit claims against carriers, subcontractors, and third parties. 
  • Monitor carrier acknowledgments, investigations, settlement offers, and denials. 
  • Draft dispute letters and rebuttals to challenge carrier denials when appropriate. 
  • Negotiate settlements and pursue maximum recovery opportunities. 
  • Maintain recovery tracking and collection records. 
  • Coordinate with insurance representatives and legal counsel when necessary. 

Customer Communication 

  • Serve as a primary point of contact for customers regarding claim status and resolution. 
  • Provide professional written and verbal communication regarding claim investigations and determinations. 
  • Request additional documentation when required. 
  • Educate customers on claim filing requirements and contractual deadlines. 
  • Manage customer expectations through timely and transparent communication. 

Financial Analysis 

  • Validate claimed values against supporting documentation. 
  • Review manufacturer invoices, customer invoices, inventory reports, and cost documentation. 
  • Calculate claim exposure, settlement recommendations, and recovery opportunities. 
  • Coordinate approved claim payments with Revenue Accounting and Finance teams. 
  • Reconcile claim settlements, recoveries, and credit memos. 

Reporting & Data Management 

  • Maintain accurate claim records and supporting documentation. 
  • Prepare weekly, monthly, quarterly, and annual claim reports. 
  • Track departmental KPIs and performance metrics. 
  • Monitor claim trends and identify recurring operational issues. 
  • Support management with data analysis and process improvement initiatives. 
  • Assist in maintaining departmental SOPs, workflows, and training materials. 

Process Improvement & Compliance 

  • Support departmental standardization initiatives and continuous improvement efforts. 
  • Ensure compliance with contractual requirements, transportation regulations, insurance requirements, and company policies. 
  • Identify opportunities to improve claim handling efficiency and reduce claim exposure. 
  • Participate in audits and internal reviews as required. 

 

Required Qualifications 

 

  • Associate's degree in Business, Supply Chain, Logistics, Transportation, Finance, Risk Management, or related field preferred. 
  • High school diploma or equivalent required. 
  • Minimum 2 years of experience in logistics, transportation, warehousing, claims, customer service, inventory control, or related field preferred. 
  • Experience reviewing supporting documentation and conducting investigations preferred. 
  • Strong proficiency with Microsoft Office Suite, including Excel, Outlook, Word, and Teams. 
  • Excellent written and verbal communication skills. 
  • Strong analytical and problem-solving abilities. 
  • Ability to manage multiple priorities while meeting deadlines. 
  • Detail-oriented with strong organizational skills. 
  • Ability to work independently while collaborating cross-functionally. 

 

Work Environment:   

  • While performing the duties of this Job, the employee is occasionally exposed to moving mechanical parts, and fumes or airborne particles. The noise level in the work environment will range from quiet to moderately loud.
