Responsibilities

The Senior Executive Administrative Assistant provides advanced administrative and operational support to multiple executives, including Chiefs and department leaders. This role serves as a trusted partner to leadership, managing complex schedules, facilitating communication, supporting strategic initiatives, and ensuring the efficient operation of executive and departmental activities. The position requires exceptional organizational skills, sound judgment, professionalism, and the ability to handle highly confidential information with discretion. Additionally, this role serves as a backup to fellow Senior Executive Administrative Assistants to ensure continuity of executive support across the organization.
 
Key Responsibilities include, but are not limited to:
• Provide high-level administrative support to multiple Chiefs, executives, and department leaders, including managing complex calendars, coordinating meetings and travel, preparing materials, and handling executive correspondence and communications.
• Serve as a liaison between leadership and associates by facilitating communication, managing inquiries, supporting follow-up on key initiatives and action items, and promoting effective information sharing across departments.
• Organize and support department and leadership meetings, events, onboarding activities, and associate engagement efforts to ensure smooth departmental operations.
• Support the planning, execution, and monitoring of departmental initiatives, strategic projects, and special assignments by managing schedules, timelines, documentation, reports, presentations, and project follow-up activities.
• Maintain executive and departmental records, files, and confidential information while exercising sound judgment and discretion in handling sensitive matters.
• Process invoices, expense reports, vendor payments, procurement requests, and related documentation while maintaining records associated with departmental budgets and purchasing activities and ensuring compliance with organizational policies.
• Support operational effectiveness by identifying process improvements, assisting with cross-functional initiatives, and collaborating with leaders across the organization to achieve departmental and organizational objectives.
• Serve as a backup to fellow Senior Executive Administrative Assistants, ensuring continuity of executive support during absences and periods of increased workload.
• Exercise independent judgment in prioritizing work, resolving issues, managing competing priorities, and providing guidance and knowledge-sharing to administrative support staff as appropriate.

WORKING CONDITIONS/PHYSICAL DEMANDS
• Ability to communicate effectively in English, both orally and in writing
• Visually able to perform activities such as preparing and analyzing data and figures, viewing a computer terminal, and extensive reading
• Ability to sit for extended time periods
• Sufficient manual skill for operation of PC keyboard and other standard office equipment
• Ability to travel, including occasional overnight travel
• Ability to exert minimum amounts of force occasionally to lift, carry, push, pull or move objects

This figure serves as the entry point in our salary range, and there is potential for the actual salary to be higher based on a variety of factors, such as your experience, skills, education, and location.
