NetCentric LLC, an ASRC Federal subsidiary, is currently looking for an Administrative Assistant to join our team in Fairbanks, AK.

Administrative assistant’s duties and responsibilities include providing administrative support to
ensure efficient operation of the office. Supports both government and company managers and
employees through a variety of tasks related to organization and communication. Responsible for
confidential and time sensitive material. Familiar with a variety of the field's concepts, practices,
and procedures.

Ability to effectively communicate via phone and email ensuring that all Administrative
Assistant duties are completed accurately and delivered with high quality and in a timely
manner. Rely on experience and judgment to plan and accomplish goals and a wide degree of
creativity and latitude is expected. Reports to the Program Manager.

Administrative assistant responsibilities:

  • Answer and direct phone calls
  • Maintain internal and external contact lists
  • Schedule and manage conference meetings and reservations
  • Assist with maintaining purchase log and the purchasing process life cycle
  • Assist in the preparation of regularly scheduled reports
  • Assist new hires with CAC paperwork submission
  • Develop and maintain a filing system
  • Receive, sort, and distribute the mail
  • Travel Coordination
    • Assist with employee travel arrangements
    • Acts as a backup travel preparer for government travel
    • Schedule Federal Passport application/renewals
  • POC for visitor request forms: Coordinate with staff for approval, notify Security, and
    schedule with IT for CAC area access
    • Intake and routing of visitors to areas as required
    • Serve as POC when manager is not directly available
    • Support guests
  • Assist with maintaining purchase log and the purchasing process life cycle
  • Promotional flyers and documents, support internet and intranet content
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, and
    other related tasks
  • Assist with maintaining site documentation such as handbooks, manuals, reports,
    diagrams, and more
  • Create & Manage training database
    • Safety training: Electricians, Operators, Operations
    • Notify staff of training requirements and dates (cybersecurity training, etc.)
  • Promotional flyers and documents, support internet and intranet content
  • Maintain computer and manual filing systems
  • Handle sensitive information in a confidential manner

Requirements 

  • HS Diploma required
  • 3 plus years of hands-on administrative office related experience
  • MS Office to include Word, Excel and PowerPoint
  • Excellent communication and customer service skills
