Position Summary
Prometheus Federal Services (PFS) is a trusted partner of federal health agencies. We are seeking a Junior Communication Product Specialist to support the Veterans Health Administration (VHA) National Artificial Intelligence (AI) Institute and its AI Strategy, Governance, and Operating Model initiative. This role will support enterprise communications, stakeholder engagement, educational outreach, and change management activities designed to advance the safe, effective, and responsible adoption of artificial intelligence across VHA. The Junior Communication Product Specialist will work closely with AI program leaders, project managers, technical subject matter experts, and healthcare stakeholders to develop clear, engaging, and actionable communications that support AI governance, transparency, innovation enablement, risk management, and organizational adoption efforts. The ideal candidate possesses strong writing and editing skills, experience supporting communications in technical environments, and an interest in emerging technologies, healthcare innovation, and change management.

Essential Duties & Responsibilities
Communications & Content Development 
  • Develop, edit, and distribute communications supporting VHA AI initiatives, including emails, newsletters, briefings, presentations, reports, and digital content. 
  • Create clear and concise messaging that translates technical AI concepts into language appropriate for business, operational, and clinical audiences. 
  • Support development of communication materials related to AI governance, AI inventory reporting, AI risk management, and enterprise AI strategy initiatives. 
  • Ensure communications are aligned with organizational priorities, branding standards, and stakeholder needs. 
  • Assist with developing FAQs, talking points, presentations, job aids, and informational materials. 

Stakeholder Engagement & Outreach 

  • Support communication campaigns designed to increase awareness and participation in VHA AI programs and initiatives. 
  • Assist in coordinating stakeholder engagement activities, including webinars, informational sessions, office hours, and working groups. 
  • Monitor communication channels and respond to stakeholder inquiries in a timely and professional manner. 
  • Help maintain communication calendars and stakeholder distribution lists. 
  • Support collaboration among VHA leadership, AI program teams, use case owners, and governance bodies. 

Meeting, Event & Webinar Support 

  • Coordinate logistics and communications for training events, governance meetings, workshops, and educational sessions. 
  • Develop meeting agendas, presentation materials, talking points, and post-event summaries. 
  • Document meeting outcomes, action items, and stakeholder feedback. 
  • Support execution of AI educational and awareness events across the enterprise. 
  • Assist with virtual meeting facilitation using Microsoft Teams and related collaboration platforms. 

AI Governance & Change Management Support 

  • Support communication and change management efforts related to AI adoption, governance, and risk management initiatives. 
  • Help develop communications that encourage participation in AI inventory, risk management, and governance activities. 
  • Assist in creating educational materials, guidance documents, and awareness campaigns that promote responsible AI practices. 
  • Support development of communication approaches that help VHA staff understand AI policies, requirements, and best practices. 
  • Contribute to stakeholder readiness and adoption activities associated with AI innovation programs. 

Content Repository & Knowledge Management 

  • Assist in maintaining communication repositories, digital artifacts, SOPs, FAQs, and stakeholder resources. 
  • Support version control and publication processes for communications products. 
  • Organize and maintain communication materials in SharePoint, Teams, or other collaboration platforms. 
  • Ensure communication assets remain current, accurate, and accessible. 
Minimum Qualifications
  • Bachelor's degree in Communications, Public Relations, Journalism, Marketing, Business Administration, English, or a related field. 
  • ​​​​​​​Minimum of 5 years of professional experience supporting communications, public relations, stakeholder engagement, or marketing initiatives. 
  • Excellent written, editing, proofreading, and verbal communication skills. 
  • Experience developing presentations, reports, briefing materials, and stakeholder communications. 
  • Experience supporting communications within a technical, healthcare, government, or business environment. 
  • Strong organizational and time-management skills with the ability to manage multiple assignments simultaneously. 
  • Proficiency with Microsoft Office Suite, including PowerPoint, Word, Teams, and Outlook. 
  • Ability to communicate technical information to non-technical audiences. 
  • Strong attention to detail and commitment to quality. 
  • Authorized to work in the U.S. indefinitely without sponsorship. 
  • Ability to obtain and maintain a Public Trust clearance. 
Preferred Qualifications
  • Experience supporting federal agencies, particularly the Department of Veterans Affairs (VA) or Veterans Health Administration (VHA). 
  • Experience supporting communications for technology, data, digital transformation, AI, or innovation initiatives. 
  • Familiarity with organizational change management principles and stakeholder engagement strategies. 
  • Experience supporting webinars, training events, or virtual collaboration sessions. 
  • Knowledge of AI, emerging technologies, healthcare innovation, or digital health concepts. 
  • Experience with SharePoint, Adobe Creative Suite, Canva, or similar content development tools. 
  • Experience supporting executive communications and strategic communication initiatives.

The posted salary range is the company’s good-faith estimate for this role. PFS benefits and compensation are determined by various factors, including, but not limited to, location; the individual's particular combination of education, knowledge, skills, competencies, and experience; as well as contract and organizational requirements.

Salary Range: $71,000 - $89,000
