Responsibilities
- Account Administration & Operations
- Prepare and process new account and closed account documentation in compliance with internal policies and regulatory requirements.
- Coordinate with Wealth Operations to onboard accounts and facilitate asset transfers.
- Execute daily account transactions, including deposits, bill payments, ACH/wire transfers, and internal/external transfers.
- Complete initial and annual administrative account reviews; identify and resolve exceptions.
- Client & Advisor Support
- Serve as primary support for Wealth & Fiduciary Advisors.
- Communicate professionally and promptly with clients, colleagues, and external partners.
- Provide assistance with the Total Wealth online platform and respond to client inquiries.
- Prepare account summaries, planning reports, and memos for committee meetings (WMAC and Steering Committee).
- Process net income distributions to beneficiaries per trust agreements.
- Compliance & Standards
- Maintain compliance with IRS, FDIC, and state regulatory requirements, as well as fiduciary and audit standards.
- Stay current on document retention standards and ensure adherence to internal policies and procedures.
- Perform notary and Medallion Signature Guarantee services.

Education, Experience, and Other Expectations
- Bachelor’s Degree in Accounting, Finance, or Business Administration; or equivalent working experience.
- 2-4 years of relevant experience.
- Experience in the financial industry, preferred.
- Willingness to pursue continuing education (travel may be required).
Knowledge, Skills, and Abilities
- Knowledge of accounting practices and tax reporting for securities, real estate, and closely held entities preferred.
- Strong analytical, organizational, and problem-solving skills.
- Excellent communication skills (written, verbal, interpersonal).
- Proficiency in Microsoft Office Suite and willingness to learn specialized software (OneSource, SEI, Salesforce, Nautilus).
- Ability to manage multiple priorities with attention to detail.
- Commitment to confidentiality and professional conduct.
