Position Overview

Platinum Fundraising is seeking an exceptional Executive & Personal Assistant to serve as a trusted right-hand to one of our company owners. This is not a traditional administrative role as we need someone who sees what needs to happen next, takes ownership, and keeps things moving. The successful candidate will be comfortable managing a broad mix of professional and personal priorities and can be trusted to handle matters from start to finish with sound judgment, discretion, and excellent follow-through.

Job Summary

We are seeking a dynamic and highly organized Executive Personal Assistant to support our leadership team. In this role, you will manage complex calendars, coordinate projects, handle confidential information, and facilitate seamless communication across departments. Your proactive approach and exceptional organizational skills will ensure our executives operate efficiently and effectively, enabling them to focus on strategic priorities.

Key Responsibilities

  • Manage the executive’s calendar, appointments, meetings, and changing priorities.
  • Coordinate business and personal travel, including flights, transportation, reservations, and itineraries; proactively manage delays, cancellations, and other disruptions.
  • Track projects, deadlines, outstanding items, commitments, and items assigned to others; follow through until completion.
  • Prepare for meetings, take notes as needed, and track action items.
  • Coordinate smaller projects, vendors, quotes, services, meetings, events, gifts, supplies, and special projects.
  • Track receipts and expenses; maintain highly organized electronic and physical files.
  • Prepare franchisee packages; review franchisee documents and Fundraising Specialist contracts for accuracy and completeness.
  • Maintain CRM/VanillaSoft updates, lead status changes, franchisee records, files, and reports.
  • Review form submissions, coverage maps, and location information; support territory and store-location administration.
  • Track franchisee-provided leads, monitor new territory activity, follow up on customer survey responses, and draft/respond to Google reviews.
  • Manage personal appointments, personal travel, purchases, gifts, returns, household vendors, paperwork, phone inquiries, and occasional local errands.
  • Handle confidential business and personal information with complete discretion.

When something changes or goes wrong, you assess the situation, consider what may be affected, and take ownership of finding a solution. You follow through, stay on top of outstanding items, adapt when priorities change, and make sure important details do not fall through the cracks.

Success in this role means becoming a trusted right-hand. Someone who can be given something and relied upon to manage it thoughtfully from start to finish, with confidence that it is handled.

Qualifications & Experience

  • Bachelor’s degree required.
  • 5+ years of relevant Executive Assistant and/or Personal Assistant experience.
  • Experience in a combined Executive + Personal Assistant role strongly preferred.
  • Experience directly supporting an owner, founder, or senior executive.
  • Experience managing a busy executive calendar, coordinating business travel, and supporting projects.
  • Ability to anticipate needs and take initiative without step-by-step direction
  • Demonstrated ability to handle highly confidential information; NDA required.
  • Experience in managing business travel arrangements and handling internal communication channels efficiently.
  • Very tech-savvy with the ability to learn and troubleshoot systems independently; strong proficiency with Microsoft Office and PDF tools.

Schedule & Logistics

This is a full-time, fully in-office position in Fort Lauderdale.

Schedule is Monday through Friday, 8:00 AM – 5:00 PM. Hours may vary based on business needs. Occasional availability outside normal business hours and occasional travel may be required.

Candidates must have a valid driver’s license, reliable transportation, and be comfortable completing occasional local errands.
