Help patients take the first step toward better health
When someone contacts Medi-Weightloss, they have already started thinking about making an important change in their health. As our Patient Coordinator & Clinic Growth Lead, you will help turn that interest into action.
You will guide prospective patients from their first question through scheduling and enrollment, while also creating a welcoming, organized experience for established patients. Because our Framingham clinic is growing, you will have a meaningful opportunity to shape how we serve patients, build relationships within the community, and develop processes that support the clinic’s long-term success.
This role is ideal for someone who combines warmth and empathy with initiative, organization, and a talent for helping people feel confident about taking the next step.
What you’ll do
Connect prospective patients with care
Respond promptly to inquiries received by phone, website, referral, or walk-in.
Learn what each prospective patient hopes to achieve and explain our programs in clear, approachable language.
Answer common questions about program options, cost, insurance, scheduling, and the patient experience.
Help prospective patients feel comfortable scheduling their initial appointment.
Follow up thoughtfully with individuals who need additional time or information before making a decision.
Reconnect with previous inquiries and invite them to reconsider their health goals.
Support clinic growth
Track key performance measures, including response time, contact rate, appointments booked, show rate, and patient enrollment.
Work toward clearly defined booking and enrollment goals.
Identify opportunities to improve follow-up, scheduling, and patient communication.
Assist with community outreach, referral development, and other clinic-growth initiatives.
Share ideas and observations that can help the clinic reach and serve more patients.
Create an excellent patient experience
Provide a warm and professional experience from a patient’s first interaction through ongoing visits.
Manage phone calls, scheduling, check-in, checkout, and patient payments.
Listen carefully, address concerns, and help resolve issues before they become larger problems.
Treat every patient with compassion, respect, and discretion.
Help patients feel known, supported, and encouraged throughout their journey.
Help build strong clinic operations
Develop and maintain efficient front-desk and patient follow-up processes.
Keep accurate records and ensure important tasks are completed consistently.
Recognize opportunities for improvement and recommend practical solutions.
Document processes and help train future team members as the clinic grows.
Collaborate with clinical staff and ownership to support a positive, patient-focused environment.
Schedule
Our patients often need appointments outside traditional business hours, so some evening and weekend availability is required.
Current clinic hours are:
Wednesday: 12:00 p.m.–7:00 p.m.
Thursday: 8:00 a.m.–6:00 p.m.
Friday: 8:00 a.m.–1:00 p.m.
Saturday: 8:00 a.m.–1:00 p.m.
As the clinic grows, the schedule may evolve based on patient demand and business needs. The person in this role will have an opportunity to provide input as we determine which hours best serve our patients and support the clinic’s success.
What we’re looking for
Three or more years of experience in patient coordination, treatment coordination, consultative sales, membership sales, med spa, dental, fitness, hospitality, or another service-focused environment.
Experience working toward measurable goals such as appointments booked, memberships sold, enrollments completed, or sales targets achieved.
Confidence communicating by phone and providing courteous, consistent follow-up.
The initiative and organization to manage your day and prioritize responsibilities independently.
Strong written and verbal communication skills.
Sound judgment when working with confidential patient information.
Dependability and the ability to work onsite, including Saturday mornings.
