POSITION OVERVIEW
The Records Technician is responsible for preparing, scanning, and managing client records to ensure accurate and efficient digital recordkeeping. This role requires strong attention to detail, organization, and the ability to support staff with document-related needs while maintaining strict confidentiality standards.
ESSENTIAL FUNCTIONS
- Scans, imports, and processes documents from multiple sources (hard copy & email).
- Prepares and organizes client files for imaging, ensuring accuracy and compliance with guidelines.
- Reviews and verifies document quality; resolves scanning errors before final upload.
- Maintains and uses document imaging systems effectively.
- Provides support to staff with document access, imaging, and inquiries.
- Completes and routes documentation accurately and within established timelines.
- Maintains organized records, workspace, and equipment.
- Communicates effectively with team members and supervisors regarding workflow or issues.
- Ensures compliance with agency policies and HIPAA confidentiality standards.
- Supports effective and efficient business practice.
- Maintains positive business relationships, confidentiality, good attendance, punctuality, and acts in accordance with all company policies and procedures.

MINIMUM QUALIFICATIONS
- High School Diploma or equivalent, and 1 year experience in an office setting.Â
- Typing speed of at least 35 WPM
- Strong attention to detail, organization, and time management skills.Â
- Ability to follow written and verbal instructions.Â
- Proficiency with basic computer applications and office equipment.Â
   PREFERRED QUALIFICATIONS
- Bilingual (English/Spanish) preferred.
TRAVEL REQUIREMENTS
- No travel required outside of office base.
WORKING CONDITIONSÂ
Professional office environment. Noise level in the office is low to moderate depending on area. Individual workspace is assigned and varies from open cubicle to private office.Â
