Essential Job Functions: Serve as a first point of contact for team members and new hires, providing assistance with general HR questions, onboarding requirements, employment documentation, and other routine HR matters while providing a positive and professional team member experience. Assist with basic team member relations matters by gathering information, conducting initial interviews as directed, reviewing available documentation, and compiling relevant information. Support the HR Generalist and HR Manager with higher-level investigations by gathering records, organizing supporting documentation, and assisting with drafting investigation summaries and Employee Relations documentation. Coordinate certification and licensing requirements for team members, including TXRC licenses, TABC certifications, Food Handler certifications, TOPS requirements, and other required credentials. Track completion and expiration dates, communicate outstanding requirements, and maintain accurate documentation to support compliance. Coordinate New Hire Orientation logistics, including preparing new hire reports and communications, scheduling and coordinating meeting space/BEOs, preparing laptops and presentation materials, organizing orientation documents, and ensuring all required paperwork is completed and properly filed. Assist with and conduct portions of New Hire Orientation and other general HR training as assigned to help team members understand Company policies, programs, expectations, and available resources. Perform administrative HR functions requiring an understanding of Company policies and procedures. Maintain confidentiality and accurately communicate policies, procedures, and HR processes to team members and leaders at all levels of the organization. Input and maintain HR transactional data within the HRIS and assist with the Employee Action Notice (EAN) process, ensuring information is complete, timely, and accurate. Support recruiting efforts, particularly during high-volume hiring periods, by maintaining open positions within the applicant tracking system, communicating with hiring managers and candidates, scheduling interviews, assisting with candidate sourcing and initial screening, and supporting pre-employment and onboarding activities. Assist the HR & Talent Specialist with interviews, hiring events, recruiting activities, candidate communication, and onboarding as needed, with additional recruiting support provided during seasonal and high-volume hiring periods. Coordinate onboarding activities and serve as a point of contact for candidates throughout the pre-employment and onboarding process, helping ensure required documents, background checks, certifications, and other employment requirements are completed before the team member's start date. Maintain organized and accurate team member personnel files, onboarding records, certification records, orientation documentation, and other HR records in accordance with Company recordkeeping and confidentiality requirements. Prepare HR correspondence and documentation, including offer letters, onboarding communications, certification reminders, employment-related notices, and applicant status communications, using established Company policies, templates, and procedures. Run standard reports from the HRIS and applicant tracking systems and assist the HR team with tracking information related to staffing, hiring, turnover, onboarding, certifications, and other departmental initiatives. Assist with exit interview coordination, employee recognition initiatives, HR events, hiring events, training sessions, and other departmental programs and activities. Work closely with the HR Manager, HR Generalist, and HR & Talent Specialist to ensure HR processes are completed accurately and timely and that team members, candidates, and leaders receive a high level of service. Provide general administrative support to the Human Resources department, including scheduling, filing, document preparation, data entry, tracking, correspondence, and other departmental needs. Perform other duties as assigned.  QualificationsEducation: Associate degree in Human Resources, Business Administration, or a related field preferred. Bachelor’s degree in Human Resources, Business Administration, or a related field is a plus. An equivalent combination of education, training, and relevant Human Resources experience may be considered. Knowledge, Skills and Abilities: Knowledge of human resources principles and practices, including recruiting, onboarding, employee relations, recordkeeping, and compliance. Ability to maintain a high level of confidentiality and exercise discretion when handling sensitive team member and Company information. Strong organizational and time-management skills with the ability to manage multiple priorities, meet deadlines, and follow through on assigned tasks. Strong attention to detail with the ability to maintain accurate records, documentation, and HR data. Strong computer skills, including effective working knowledge of Microsoft Office products. Knowledge of Human Resources Information Systems (HRIS) and applicant tracking systems; experience with Paycom preferred. Excellent written and verbal communication skills with the ability to communicate professionally and effectively with team members, candidates, and leaders at all levels of the organization. Strong interpersonal and customer service skills with the ability to provide a positive experience for team members and candidates. Ability to identify and resolve routine problems and determine when matters should be escalated to the appropriate HR team member. Ability to interpret and follow instructions, policies, procedures, and established HR processes provided in written, verbal, or other formats. Ability to gather, organize, and review information and documentation to support employee relations matters and HR initiatives. Basic analytical skills with the ability to review HR reports, identify trends, and assist with tracking departmental metrics. Ability to work independently while also collaborating effectively as part of the Human Resources team. Ability to work in a fast-paced environment and adapt to changing priorities, particularly during high-volume recruiting and onboarding periods. Bilingual proficiency in English and Spanish preferred. Training:        Minimum two years related experience and/or training of Human Resources, administrative, recruiting, onboarding, or related experience preferred. Training in Human Resources Information Systems (HRIS) and applicant tracking systems preferred; Paycom training is a plus. SHRM, HRCI, or other Human Resources-related training or certification is a plus but not required Physical Requirements:  The physical demands and work environment characteristics described are representative of those that must be met by a team member to successfully perform the essential functions of this job.
