Job Summary for Fleet Lease Supervisor

  

The Fleet Lease Supervisor oversees daily fleet lease operations to ensure efficient and compliant management of leased vehicles supporting auction and business operations. This role coordinates lease administration, vehicle maintenance scheduling, and driver oversight activities while supporting cost control and regulatory compliance. The Supervisor monitors workflow, ensures timely documentation, and escalates strategic vendor or contractual matters to management as needed.

Supervisory Responsibilities for Fleet Lease Supervisor

  • Provides day-to-day supervision and task direction to fleet lease coordinators and support staff.
  • Assigns and prioritizes daily workload to meet operational objectives.
  • Provides coaching and training related to lease tracking, compliance, and maintenance coordination.
  • Monitors team performance metrics, including safety records, mileage usage, and fuel efficiency.
  • Does not approve payroll or make hiring/termination decisions.

Other Responsibilities for Fleet Lease Supervisor

  • Oversees daily tracking of lease agreements, expiration dates, mileage thresholds, and renewal timelines.
  • Ensures accurate documentation of lease payments and contractual obligations.
  • Coordinates routine and preventative maintenance scheduling for leased vehicles.
  • Monitors repair activity and identifies cost-control opportunities.
  • Maintains accurate fleet documentation including insurance, registrations, inspections, and maintenance records.
  • Reviews driver safety records, mileage usage, and compliance metrics.
  • Serves as primary operational contact for vendors and transport partners regarding day-to-day matters.
  • Ensures leased vehicles meet local, state, and federal regulatory requirements.
  • Analyzes fleet data to evaluate utilization, performance, and total cost of ownership and reports findings to management.
  • Serves as a subject matter expert to assist FL Coordinators with questions, concerns, and status updates related to vehicle sales.
  • Develops and implements strategies to improve operational efficiency and reduce fleet-related expenses.
  • Performs other duties as assigned.

Requirements

Required Skills/Abilities for Fleet Lease Supervisor

  • Strong knowledge of fleet and lease administration practices.
  • Ability to manage high-volume operational workflows.
  • Strong organizational and documentation skills.
  • Effective communication skills for cross-department coordination.
  • Ability to interpret fleet data and identify trends.
  • Strong problem-solving and decision-making skills.
  • Proficiency with fleet management systems and reporting tools.
  • Strong customer relationship and business development skills. 

Education and Experience

  • 5+ years of auction operations, fleet/lease, commercial account, or remarketing experience. 
  • At least one year of team lead or supervisory experience preferred.
  • Valid driver’s license with satisfactory driving record required.

Physical Requirements

  • Ability to sit, stand, and walk for extended periods.
  • Ability to move throughout auction facilities and service areas as needed.
  • Ability to review documentation and inspect vehicles as required. 
  • Ability to communicate effectively in person, by phone, and electronically.
