Job DetailsJob Location: Harrisonburg, VA 22802 Job Title: Office Coordinator Department:  Nursing Supervisor:  Department Chair Employment Type:  Staff  FLSA Classification:  Non-Exempt Schedule/Hours:  1.0 FTE, M-F, 8-5 Pay Range:  $15.50 – $17.00 per hour   Job Summary: The Nursing Department Office Coordinator leads administrative operations for the Nursing Department and serves as the central liaison for leadership, faculty, students, and the campus community. This role provides direct support to the Department Chair and Program Directors (Undergraduate Prelicensure, MSN, and DNP), manages daily office workflows, and supervises department staff and work-study students in a fast-paced, collaborative environment.    Duties/Responsibilities Coordinate daily office routines and provide direct administrative support to the Department Chair and Program Directors. Maintain student and faculty handbooks, ensuring approved policy updates are documented and coordinating policy orientations for new students. Assist with departmental web updates, organize files, record faculty meeting minutes, and assist with work-study student scheduling and oversight. Process undergraduate and graduate application workflows in Salesforce, calculate GPAs, assemble review packets, and support the Admissions Committee. Track student progression, monitor GPA eligibility, process registrations for ASD BSN and graduate students, and submit completion records to the Registrar. Serve as Testing Coordinator for undergraduate standardized exams, arranging accommodations and makeup schedules with the Academic Success Center. Handle event logistics for student orientations, graduation events, and DNP residencies (requires occasional travel and off-hours availability). Maintain tracking systems for student and faculty clinical compliance, liaising with Health Services and clinical coordinators. Process, track, and route annual clinical agency contracts in coordination with leadership and the VP of Finance prior to each fall semester. Maintain comprehensive student, transcript, and faculty licensure records in compliance with Virginia Board of Nursing (VBON) regulations. Gather and organize outcome data, evaluation summaries, and statistical records to support CCNE and VBON accreditation reporting. Track program budgets, monitor ledger expenditures, process course fee entries, and submit student charges to the Business Office. Serve as the primary operational point of contact for Graduate Recruitment, Admissions, Registrar, Marketing, and Financial Services. Required Skills: Excellent verbal and written communication skills Excellent interpersonal and customer service skills Excellent organization skills and attention to detail Excellent time management skills with proven ability to meet deadlines Strong analytical and problem-solving skills Strong supervisory and leadership skills Ability to prioritize tasks and to delegate them when appropriate Comfortable working both independently and in a team environment Ability to have a neat and professional appearance Ability to use a PC and software such as Windows, Microsoft Office (specifically Word and Excel) and Google Workspace (Gmail and Google Drive) Web editing experience Experience with Jenzabar J1 preferred Ability to maintain confidentiality Ability to operate commonly used office equipment such as a copy machine, phone, etc. Ability to function well in a high-paced and at times stressful environment Education and Experience: Associate’s degree, and a minimum of 3 years of office management experience, or an equivalent combination of experience, education, and training.  Bachelor’s degree preferred.  HigherEd experience is preferred.   Supervisory Responsibilities: Recruits, interviews, hires, trains and oversees office staff and work study students when applicable   Physical Requirements: While performing the duties of this job, the employee is regularly required to talk or hear.  The employee frequently is required to sit and use hands and fingers to handle, or feel.  The employee is occasionally required to stand, walk, and climb or balance.  The employee must occasionally lift and/or move up to 25 pounds.  Specific vision abilities required by this job include close vision.  The employee must occasionally travel to meetings and conferences off campus.
