An established international tax advisory and corporate services firm is looking to recruit a highly organised and professional Office Secretary / PA to the Managing Director for its Nicosia office. The firm provides specialist professional services to an international client base and is recognised for its strong technical expertise and service-focused approach.

Job Description

The Office Secretary / PA will provide direct administrative and personal support to the Managing Director while assisting with the smooth day-to-day running of the office. The position requires excellent organisational skills, discretion, attention to detail, and the ability to confidently manage multiple priorities.

The successful candidate will also act as a key point of contact for visitors and internal teams and will provide additional administrative support to other departments when required.

Responsibilities

  • Manage the Managing Director’s calendar, appointments, meetings, emails, messages, and day-to-day communications
  • Provide PA support to the Managing Director, including handling personal and ad-hoc tasks when required
  • Answer, screen, and direct incoming telephone calls professionally
  • Organise internal and external meetings, including scheduling, logistics, and coordination with attendees
  • Take meeting minutes and distribute them to relevant parties
  • Prepare and maintain correspondence, reports, presentations, documents, and office records
  • Arrange business travel, accommodation, and itineraries for the Managing Director
  • Welcome visitors and ensure they are directed to the appropriate person or department
  • Ensure the reception, meeting rooms, and general office areas remain professional and well organised
  • Monitor office supplies and coordinate orders as required
  • Assist with the organisation of company events and functions
  • Coordinate with different departments to support efficient daily office operations
  • Provide administrative assistance to the Marketing and Compliance departments when required
  • Undertake additional projects and administrative duties assigned by the Managing Director

Requirements

  • Previous experience in an Office Secretary, Personal Assistant, Executive Assistant, or similar administrative role is preferred
  • Excellent organisational and multitasking skills with strong attention to detail
  • Fluency in Greek and English, both written and spoken
  • Excellent communication and interpersonal skills
  • Strong computer literacy, particularly Microsoft Word, Excel, and PowerPoint
  • Ability to manage confidential and sensitive information with professionalism and discretion
  • Ability to prioritise workload, work under pressure, and meet tight deadlines
  • Professional, reliable, and proactive approach to work
  • Strong team player with the ability to communicate effectively across different departments
