POSITION SUMMARY
The Tenant Coordinator/Project Manager (TCPM) is responsible for oversight of Tenant Improvement (including Landlord Work) and Building Improvement projects, from concept through final project closeout, for new and existing commercial properties in the State of Hawaii. Ā This position is responsible for preparing space plans and work letters to specify the delivery condition of existing spaces in support of leasing efforts. This individual will manage consultants and contractors in the design, permitting and construction of improvements to complete construction projects in a timely and cost-effective manner.
This position resides in Tenant Coordination, within the Leasing Department, and interacts with internal groups, including Asset Management, Legal, as well as external vendors.
Starting salary range: $90,000 - $105,000Ā
The actual base pay offered to a candidate will depend on factors including but not limited to qualifications, skills, education, and experience. Base pay is just one component of our total rewards package offered to employees. KEY RESPONSIBILITIES
Tenant Improvement projects:
⢠Responsible for ādrivingā the Landlord design, permitting and construction process on any Landlord Work, and working with Tenant/Tenantās Team on their design, permitting and construction processes, to ensure achievement of the ābest possibleā Rent Commencement Dates for all projects as assigned.
⢠Ensure all lease required documentation and conditions for Delivery of the Premise are achieved, at the earliest possible date.
⢠Proactive and resourceful in performing all tasks related to information gathering as required to assist Leasing in effectively marketing tenant spaces and negotiating lease terms.  Information may include space planning, providing conceptual estimates or creating project schedules for Landlord and Tenant work.
⢠Draft and review standard BOMA exhibits for Leases, including Lease Outline Drawings (LODs) and Landlord Work Letters to describe the delivery condition of tenant spaces.
⢠Coordinate with Legal, Leasing and Asset Management to ensure lease language and terms of delivery are reasonable and achievable.
⢠Bid and/or negotiate Landlord design and construction work with Contractors, Vendors, Architects and Engineers.
⢠Responsible for oversight and timely delivery of all new lease-required Landlord work, including preparing and administering consultant, contractor, and vendor contracts.
⢠Review Tenantās improvement plans and Tenantās sign drawings, to ensure compliance with lease terms, property design standards and general governmental regulations.
⢠Monitor Tenantās design, permitting and construction progress.
⢠Responsible for regular reporting of status for all work in process.  Also responsible to properly maintain landlord and tenant files in company-provided shared drive and file sharing systems.
⢠Schedule and attend on-site pre-bid and on-site pre-construction meetings.  Enforce Contractor Rules and Regulations, Landlord expectations and project timelines to ensure Rent Collection Dates are met.
⢠Schedule and attend inspections of work in progress to ensure quality control and compliance of work.  Manage contractors on site.
⢠Provide constant and accurate communication with tenants and their design/construction teams as to the status of their improvement projects.
⢠Assist Tenant Coordination Manager in creating and improving company policies with respect to Contractor Rules, Standard Operating Procedures, program manuals and Tenant Coordination processes.
⢠Other various responsibilities as assigned.
Building Improvement Projects:
⢠In conjunction with Property Managers, define project scope of work and budget.
⢠Coordinate with the Building Improvement Manager on budget, scope, and spend for the upcoming year.
⢠Contract and manage A/E consultants, as needed, and Contractors to complete projects.
⢠Troubleshoot design and construction issues before they arise, or as they arise.
⢠Schedule and attend on-site pre-bid and on-site pre-construction meetings.  Enforce Contractor Rules and Regulations, Landlord expectations and project timelines.  Schedule and attend inspections of work in progress to ensure quality control and compliance of work.  Manage contractors on site.
⢠Provide constant and accurate communication with the Asset Management Team (i.e. Property Manager) as to the status of Building Improvement projects and coordinate all work that may impact property operations well in advance.
⢠Responsible for regular reporting of status for all work in process, including project forecasts.  Also, responsible for properly maintaining project files in company-provided shared drive and file sharing systems.
⢠Other various responsibilities as assigned.
REQUIREMENTS
⢠Bachelorās degree in architecture, engineering, construction management or related field.
⢠5-10 years of experience as a Tenant Coordinator, Project Manager or Construction Manager. Ā Experience as Ownerās Representative preferred.
⢠Experience in commercial/retail design and construction.  Current knowledge of industry trends and best practices for retail/commercial sectors.
⢠General knowledge & understanding of Mechanical, Electrical, Plumbing, HVAC, Fire Protection & Fire Alarm systems, and able to understand said plans.  Advanced knowledge of building products and materials, construction details and quality standards.
⢠Experience working with local building officials, inspectors, DPP, ADA requirements and local utility agencies.
⢠Competency in conflict and crisis management.  Good problem solver.
⢠Excellent time and project management skills.  Ability to multi-task and work effectively in a multiple project/fast paced environment.
⢠Excellent written, verbal and negotiating communication skills, as well as strong organizational skills.
⢠Utilizes effective customer service skills.
⢠Proficiency in Bluebeam/Adobe Acrobat, Microsoft Office (Word, Excel, PowerPoint).  Experience in AutoCAD, Adobe Creative Suite (Illustrator, Photoshop, InDesign), Trello, & Yardi Construction Manager is a plus.
⢠Experience with Development Projects or Construction Management experience in Development a plus.
