Job Description

The Facilities Coordinator is responsible for a variety of back-office services and support functions for the Houston office. 

Job Responsibilities

  • Acts as point person for communication with Maintenance team, Office Services, Office Managers, and Professional Staff.
  • Record all building, vendor, contractor, and maintenance activities and tasks.
  • Record, log, and track all temperature, facilities, and Office Services requests.
  • Schedule and coordinate in-office moves for Associates and support staff.
  • Identify requests that should be forwarded to Building Management or Property Management Office; record, delegate and update status of requests.
  • Tracking office supplies inventory and ordering as needed. Maintaining all of the mini-supply centers stocked and organized.
  • Keeping copier rooms stocked with paper/toner, and refilling paper trays on a daily basis.
  • Assist the Facilities and Operations teams in creating job orders.
  • Act as back up to Administrative Floater to perform administrative duties including ordering office nameplates, supplies, and preparing visitors office.
  • Walk space throughout the day to review operation of equipment (lights, photocopiers, digital scanners, etc.) and ensure safe environment.
  • Coordinate with Facilities Manager regarding conference room furniture configuration (when needed).
  • Retrieve, sort and distribute all incoming and outgoing mail and packages.
  • Maintain postage log for incoming and outgoing mail/packages
  • Assist and coordinate with miscellaneous projects for attorneys and staff (including hanging art, special requests, etc.).

Perform other duties as assigned.

Qualifications

Required

  • 2-3 years’ experience required
  • Basic computer skills in MS Excel, Outlook, Word, and PowerPoint
  • Ability to effectively present information verbally and in writing.
  • Basic math skills: addition, subtraction, multiplication, division
  • Strong organizational skills
  • Strong attention to detail
  • Ability to effectively prioritize, organize, plan and multi-task work activities in a high pressure/fast-paced environment.
  • Ability to use diplomacy and discretion. Must act with professionalism at all times
  • Client-focused with the ability to provide customer service in a professional manner
  • Ability to work independently or on a team, with a positive attitude and flexibility to work with multiple individuals and handle a wide variety of tasks

Preferred

  • Experience in a large law firm preferred
  • 4-5 years of experience in a Facilities or Operations role
