We are seeking a highly organized, trustworthy, and proactive Executive Personal Assistant to support a busy dental practice owner and entrepreneur.
This is a hands-on, in-person position. The assistant will begin most workdays near the Galleria area and accompany the executive to multiple dental offices and business locations throughout Houston. The ideal candidate is professional, dependable, discreet, and able to keep a fast-moving schedule organized.
Key Responsibilities
- Meet the executive at his residence near the Galleria at the beginning of scheduled workdays
- Accompany or drive the executive’s vehicle to dental offices, meetings, and appointments throughout Houston
- Answer, screen, and return phone calls professionally
- Monitor emails and draft or coordinate responses
- Maintain and organize business and personal calendars
- Schedule meetings, appointments, travel, and important reminders
- Create daily schedules and ensure the executive stays on time
- Take detailed notes during calls and meetings
- Maintain task lists and consistently follow up until items are completed
- Communicate with office managers, employees, vendors, and other business contacts
- Help coordinate documents, purchases, errands, events, and other administrative needs
- Handle confidential business and personal information with complete discretion
- Anticipate needs, identify scheduling conflicts, and resolve issues proactively
Ideal Candidate
- Previous experience as a personal assistant, executive assistant, office manager, or similar administrative professional
- Exceptionally organized and attentive to detail
- Strong written and verbal communication skills
- Comfortable managing phone calls, emails, calendars, and multiple priorities
- Able to take clear instructions, ask questions when necessary, and follow through without repeated reminders
- Professional, calm, and adaptable in a fast-paced environment
- Comfortable working closely with the executive throughout the day
- Proficient with smartphones, email, calendars, Microsoft Office, and Google Workspace
- Must have a valid driver’s license and a clean driving record
- Must be comfortable driving throughout the Houston area
- Must pass a background check and sign a confidentiality agreement
Work Location and Schedule
- Position begins near the Houston Galleria area
- Frequent local travel to dental offices and other business locations
- Primarily weekday hours, with occasional early mornings, evenings, or weekend availability when needed
- This is an in-person position and cannot be performed remotely
Compensation - $3000/ month for 6 months followed by $4000/month after 6 monthsÂ
