The Lead Front Desk Specialist performs all essential duties of the Front Desk Specialist role while providingĀ on‑siteĀ support, guidance, and leadership to the front desk team. This position serves as theĀ initialĀ point of contact for questions from staff and acts as a role model for professionalism, accuracy, and exceptional customer service. The Lead Front Desk Specialist must be proficient in all front desk functions, including complex scheduling, insurance verification, billing, and EHR processes. The role also supports clinic operations through coordination, communication, andĀ problem‑solvingĀ to enhance patient experience, team performance, and workflow efficiency.Ā

Areas of AccountabilityĀ

This position is directly accountable for the following key areas:Ā 

Ā 

  1. Patient Experience & Customer ServiceĀ 
  • Provide a warm, professional, and welcoming experience for patients in person and by phone.Ā 
  • Explain available services, payment categories, billing procedures, and copayment expectations.Ā 
  • Maintain a positive,Ā customer‑focusedĀ demeanor during all interactions.Ā 
  • Escalate patient complaints appropriately andĀ assistĀ with resolution when possible.Ā 

Ā 

  1. Patient Intake, Registration & DocumentationĀ 
  • Update patient information at every visit, includingĀ in‑clinicĀ and telehealth appointments.Ā 
  • EnsureĀ timelyĀ check‑inĀ andĀ check‑outĀ for all patient encounters.Ā 
  • Ensure required patient forms are completed at each visit.Ā 
  • Scan required documents into the EHR accurately and promptly.Ā 
  • Monitor and complete EHRĀ in‑basketĀ messages and work queue tasks.Ā 

Ā 

  1. Scheduling & Appointment CoordinationĀ 
  • Accurately schedule patient appointments following established policies and procedures.Ā 
  • ManageĀ walk‑inĀ patientĀ and emergency visitsĀ in accordance withĀ clinic protocols.Ā 
  • Complete appointment reminders at least 24 hours in advance and communicate balance due.Ā 
  • VerifyĀ all daily appointments are properly dispositioned at the end of day.Ā 
  • Call and reschedule patients whoĀ no‑showedĀ the previous day.Ā 

Ā 

  1. Insurance, Eligibility & Financial ResponsibilitiesĀ 
  • Perform insurance verification at least 1 day prior to scheduled visits and document results in the EHR.Ā 
  • Check eligibility for all applicable patients and schedule renewal appointments.Ā 
  • Coordinate with Eligibility staff for admissions, recertifications, and insurance changes.Ā 
  • Accurately collect patient payments and follow properĀ cash‑handlingĀ procedures.Ā 
  • Allocate and reconcile the clinic change fund.Ā 
  • Prepare daily deposits for submission.Ā 

Ā 

  1. Communication & Team SupportĀ 
  • Serve as theĀ initialĀ point of contact for questions from Front Desk Specialists.Ā 
  • Maintain effective communication with medical, dental, behavioral health, and eligibility teams.Ā 
  • Provide front desk orientationĀ toĀ new staffĀ members.Ā 
  • Assist the Practice Manager in monitoring completion of work queues andĀ in‑baskets.Ā 
  • Support the Practice ManagerĀ withĀ monitoring clinic goals and operational objectives.Ā 
  • Maintain an organized and clean patient waiting area.Ā 

Ā 

  1. Administrative & Operational SupportĀ 
  • Monitor supply needs andĀ submitĀ supply lists to the Practice Manager.Ā 
  • Ensure phone coverage, voicemail review, andĀ timelyĀ return of patient calls with proper EHR documentation.Ā 
  • ProvideĀ cross‑clinicĀ coverage when needed.Ā 
  • Coordinate front desk workflow to support smooth patient flow and clinic operations.Ā 
  • AssistĀ with general operations tasks as necessary andĀ appropriate toĀ role.Ā 

Ā 

  1. Flexibility & Additional ResponsibilitiesĀ 
  • ProvideĀ cross‑coverageĀ to other clinics as needed.Ā 
  • Adapt to changing priorities and assist with tasks outside of routine responsibilities as needed.Ā 
  • PerformĀ additionalĀ duties or special projects assigned to supportĀ organizationĀ operations.Ā

Education,Ā Licensure/Certification:Ā 

  • High school diploma or GEDĀ required.Ā 
  • AdditionalĀ coursework or training in healthcare administration, customer service, or office management preferred.Ā 
  • Professional certifications in medical office administration or customer service are a plus.Ā 

Experience,Ā Skills/Abilities Related Requirements:Ā 

  • Minimum of 1 year of experience inĀ healthcare, customer service, or administrativeĀ setting.Ā 
  • Experience working with patients, clients, or the public in aĀ fast‑pacedĀ environment preferred.Ā 
  • Strong ability to multitask whileĀ maintainingĀ accuracy and attention to detail.Ā 
  • Demonstrated competency in communication,Ā problem‑solving, andĀ maintainingĀ professionalism under pressure.Ā 
  • Soft skills such as empathy, adaptability, teamwork, and aĀ service‑orientedĀ mindsetĀ 
  • ProficiencyĀ with electronic health records (EHR) systems, scheduling software, and basic office technologyĀ and softwareĀ preferred.Ā 
  • BilingualĀ proficiencyĀ in English and Spanish is preferred to support effective communication with patients, though candidates who are not bilingual are still encouraged to apply.Ā
