Job Summary: The Office Coordinator enhances daily workplace operations by ensuring a professional, organized, and welcoming environment for employees, candidates, and visitors. This role provides full-time front desk coverage, manages office logistics, supports travel and scheduling needs, and assists with onboarding and administrative processes across HR and Facilities. This role requires a polished, reliable, and confident front-facing presence and must be performed onsite in the office Monday through Friday.
Duties & Responsibilities:
Office Management & Front Desk
- Provide full-time front desk coverage and manage visitor access
- Maintain office supplies and oversee purchasing needs
- Collaborate with Facilities on vendor coordination and building needs
- Deliver a positive and professional experience to employees, candidates, and visitors
- Support daily office readiness, including workspace setup for new hires and maintaining consistent workspace standards
Travel & Scheduling
- Coordinate and communicate travel logistics, including updates and changes
- Oversee interview scheduling and conference room management
- Support leadership meeting scheduling as assigned
Onboarding Logistics
- Partner with the E&C Lead to support badge distribution and first‑day readiness
- Provide administrative assistance throughout new hire onboarding
Administrative Support
- Provide administrative support to HR, including assigned tasks and changing departmental priorities
- Maintain professional communication and timely follow‑through
- Perform additional administrative tasks and projects as requested
Required:
- 3-4 Years of relevant experience
- Demonstrated experience coordinating travel and managing complex logistics
- Highly organized and detail‑focused; able to manage time‑sensitive tasks, multiple priorities, and interruptions with consistent accuracy and reliable follow‑through
- Professional, customer-service-oriented communication and a friendly, polished front desk presence
- Service minded, proactive, and collaborative in daily interactions
- Confident engaging with employees, candidates, and visitors in a professional setting
- Comfortable supporting HR processes and handling confidential information with discretion
- Proficiency with Outlook, Excel, and common office technologies
- Ability to follow approval workflows and escalate issues appropriately
- Prior experience in office coordination, front desk, recruiting coordination, or operations roles (preferred)
- Ability to work onsite in the office Monday-Friday; this role is fully in person
