Job Overview

The Medical Appointment Scheduler is responsible for assisting patients by phone and in person, scheduling and rescheduling medical appointments, directing calls to the appropriate departments, and relaying messages to staff. This position requires strong communication skills, attention to detail, and the ability to provide professional and courteous service in a busy medical office environment.


Essential Functions

  • Answer a high volume of incoming calls and assist patients with scheduling medical appointments.
  • Greet patients and assist with scheduling and rescheduling appointments.
  • Collect and accurately document patient demographic and insurance information.
  • Contact patients as needed regarding appointment scheduling and changes.
  • Answer routine questions and provide information to patients within the scope of the role.
  • Direct calls to the appropriate departments and relay messages to staff.
  • Maintain patient confidentiality and comply with HIPAA and organizational privacy standards.
  • Perform other related duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • At least one year of medical office or healthcare customer service experience required.
  • Previous medical scheduling experience preferred.
  • Strong verbal and written communication skills.
  • Demonstrated ability to provide professional and courteous service to patients.
  • Ability to handle sensitive and confidential information appropriately.
  • Proficiency with computers and electronic systems.
  • Experience with electronic health records (EHR) or medical scheduling systems preferred.
  • Ability to work effectively in a fast-paced, patient-focused environment.
